Job Overview
WBD, Inc. is seeking a highly organized and detail-oriented Administrative Assistant to join our team. This position offers a rewarding career opportunity in a professional work environment, interacting internally with all levels of staff and externally with vendors to provide professional administrative services. The role supports the timely and consistent movement of loans through WBD’s process and involves a variety of administrative tasks.
Key Responsibilities:
- Provide high-level administrative assistance to the Senior Leadership Team and other managers, including preparing Board and committee packets, taking minutes, and assisting with the SBA Annual Report.
- Organize and coordinate meetings, including scheduling, sending invitations, and arranging food and beverages.
- Manage office supply purchasing, cost efficiencies, and office machine maintenance.
- Arrange travel, lodging, and training for WBD personnel.
- Perform receptionist duties, including answering and routing calls, greeting visitors, and handling routine inquiries.
- Assist with marketing projects, including managing the marketing database and coordinating events.
- Perform special projects for the loan processing team, including scanning files and documents.
- Maintain comprehensive and accurate records, prepare deposits, and manage work schedules according to company policies.
Qualifications:
- High School Diploma or GED required; Associate’s degree in business or communications preferred.
- Four or more years of office administrative experience, with experience working as an assistant to senior leadership preferred.
- Experience in event and meeting planning is desirable.
- Effective written and verbal communication skills, including good grammar, spelling, and punctuation.
- Excellent organizational and time management skills, with the ability to handle multiple priorities simultaneously.
- Positive, welcoming, and professional manner in person and on the telephone.
- Ability to prepare routine correspondence and other basic written material.
- Current computer skills, particularly with Microsoft Office products Excel, Word, and Outlook.
- Ability to learn quickly and take initiative.
