Position: Receptionist / Administrative Assistant Location: Spokane

Reports to: Shawn Briggs FLSA: Non-Exempt

Summary

Join the team in the Spokane Division and perform administrative functions requiring independent judgement and discretion in order to enhance the effectiveness of the front desk and the Division as a whole.

Provide administrative support working in a team-based environment in alignment with WCP Solutions’ culture and company and department goals. Enjoy your personal time with friends/family by having a consistent and reliable schedule M-F 8:00am-5:00pm with opportunity for overtime.

Pay Range: $20.00-$21.00/Hr.

Essential Functions

  • Answer incoming calls coming and direct them to the proper person; greets and directs incoming visitors.
  • Print and mail daily invoices; bill daily freight; process freight bills for payment; verify/scan POD’s, print POD’s and invoices upon request.
  • Fulfill customer request for credit applications, WCP tax I.D. information.
  • Process incoming mail; prepare semi-weekly UPS shipment.
  • Oversee the replenishment of office essential (supplies) and carry out various errands.
  • Print Welcome Letters/New Account Letters for new customers.
  • Accept and process limited amount of customer telephone, fax or walk-in orders.

Other Functions

  • Assist customers with problems, delivery times, lost orders, returns, etc.; answer customer product inquiries (i.e. availability, suitability, substitutions, sizes, etc.).
  • Communicate customer-related information, opportunities and problems to Account Managers and Inside Sales Team.
  • Perform other duties as assigned.

Qualifications

  • Minimum two years experience in an Administrative Support function, including receptionist and switchboard operation duties.
  • Proficiency with Microsoft Windows and current versions of Microsoft Office.

  • Highest level of professionalism with the ability to maintain confidentiality.
  • Effective verbal and written communications skills. Ability to communicate at all levels of organization and work well within a team environment in support of company objectives.
  • Customer service oriented, with the ability to work well under pressure.
  • Detail oriented, well organized with ability to prioritize, coordinate and simultaneously maintain multiple projects.
  • Approachable, flexible, adaptable to change.

Working Conditions

  • Professional office environment.
  • Necessity to sit or stand for extended periods of time, regularly lift 10-25 lbs.
  • Frequent use of basic office equipment (i.e. computer, stapler, 3-hole punch, paper cutter, etc.).
