- Answer incoming calls coming and direct them to the proper person; greets and directs incoming visitors.
- Print and mail daily invoices; bill daily freight; process freight bills for payment; verify/scan POD’s, print POD’s and invoices upon request.
- Fulfill customer request for credit applications, WCP tax I.D. information.
- Process incoming mail; prepare semi-weekly UPS shipment.
- Oversee the replenishment of office essential (supplies) and carry out various errands.
- Print Welcome Letters/New Account Letters for new customers.
- Accept and process limited amount of customer telephone, fax or walk-in orders.
- Assist customers with problems, delivery times, lost orders, returns, etc.; answer customer product inquiries (i.e. availability, suitability, substitutions, sizes, etc.).
- Communicate customer-related information, opportunities and problems to Account Managers and Inside Sales Team.
- Perform other duties as assigned.
- Minimum two years experience in an Administrative Support function, including receptionist and switchboard operation duties.
- Proficiency with Microsoft Windows and current versions of Microsoft Office.
- Highest level of professionalism with the ability to maintain confidentiality.
- Effective verbal and written communications skills. Ability to communicate at all levels of organization and work well within a team environment in support of company objectives.
- Customer service oriented, with the ability to work well under pressure.
- Detail oriented, well organized with ability to prioritize, coordinate and simultaneously maintain multiple projects.
- Approachable, flexible, adaptable to change.
- Professional office environment.
- Necessity to sit or stand for extended periods of time, regularly lift 10-25 lbs.
- Frequent use of basic office equipment (i.e. computer, stapler, 3-hole punch, paper cutter, etc.).
