Summary

The Donation Program Manager II is a senior representative of the We Are Sharing Hope SC Hospital Services department, responsible for advancing our mission within high-impact hospitals. This role requires expertise in managing complex donation programs, building and maintaining collaborative relationships, and fostering a positive donation culture in large, high-volume hospital settings. The Donation Program Manager II will oversee the effective implementation and management of donation processes to maximize organ and tissue donation opportunities across our service area. This position also includes a daily on-site presence at assigned hospitals, responding to referrals, approaching families for donation discussions, and managing case coordination to ensure successful outcomes.

The ideal candidate for this role will be located in near our large Hospital Systems (Charleston, Columbia, Greenville, Myrtle Beach, Florence)

Essential Duties & Responsibilities:

On-Site Daily Presence

  • Maintain a regular, daily on-site presence within assigned high-volume hospitals to engage with clinical staff, respond promptly to referrals, and oversee donation-related activities.
  • Build a strong and visible presence within the hospital to ensure donation programs are prioritized and integrated into routine clinical operations.

Referral Response

  • As assigned, respond to donation referrals from assigned hospitals. Communicate promptly and effectively with both internal teams and hospital partners on status of referrals.

Family Approach for Donation

  • As needed, lead compassionate discussions with families of potential organ and tissue donors.
  • Work closely with hospital teams to ensure that the family approach is handled with sensitivity and professionalism, respecting cultural, ethical, and emotional considerations.

Case Coordination

  • Oversee the donor case process, coordinating logistics, communication, and clinical activities between the hospital, medical professionals, and SHSC teams.
  • Collaborate with all patient care providers, hospital administration, and SHSC colleagues to resolve any operational or logistical challenges that may arise during the donation process.

Strategic Relationship Development:

  • Cultivate and sustain high-level relationships with key stakeholders, including hospital executives, department heads, and influential medical professionals within large, complex hospitals.
  • Engage proactively with these stakeholders to drive donation processes and ensure optimal outcomes, both in routine operations and during critical moments.

Advanced Strategic Planning:

  • Utilize comprehensive industry knowledge, organizational data, and direct observations to develop and execute annual strategic plans tailored to the specific needs and challenges of large or high-volume hospitals.
  • Identify and implement proactive development opportunities that align with our organizational mission and vision. Strategic plans should include clear, measurable goals and objectives that meet AOPO standards, CMS guidelines, and the unique requirements of high-volume hospitals.

Process Optimization and Improvement:

  • Lead initiatives to refine and enhance donation processes within assigned hospitals. Employ advanced problem-solving techniques to address complex challenges and continuously improve the effectiveness and efficiency of donation programs.

Expertise and Policy Development:

  • Serve as a trusted resource and subject matter expert on organ and tissue donation for assigned hospitals, including guidance on policy development and ensuring compliance with CMS and accrediting agency regulations.
  • Collaborate with SHSC internal teams to provide advanced resources and expertise during policy creation and implementation.

Internal and External Consultation:

  • Act as a senior advisor for SHSC internal teams, offering expert guidance and support in interactions with assigned hospitals. Provide both proactive and reactive assistance to ensure the best possible outcomes for complex donation cases.

Comprehensive Documentation:

  • Ensure meticulous documentation of all hospital activities and process improvement efforts, adhering to organizational policies and procedures.
  • Maintain records that reflect the complexity and scale of operations within large hospitals.

Donation Education and Training:

  • Lead efforts to deliver in-depth, specialized donation education to all levels of hospital personnel, including physician staff, within assigned hospitals. Ensure that hospital teams are well-equipped with the knowledge and skills required to manage high-volume donation referrals effectively.

High-Level Meeting Management:

  • Schedule and manage ad-hoc and routine meetings with senior hospital leadership focused on organ and tissue donation. Secure invitations to relevant high-level hospital meetings to ensure SHSC is recognized as an integral member of the hospital care team and is informed of any operational changes impacting donation processes.

Follow-Up, Recognition, and Feedback:

  • Conduct timely and comprehensive follow-up on all organ donor cases, with a focus on identifying opportunities for improvement in high-volume settings. Provide data and outcomes for tissue donation cases. Recognize and celebrate successes and collaborative efforts with hospital partners.

Process Variance Management:

  • Oversee the investigation and resolution of process variances identified through medical record reviews, particularly in complex cases. Develop and communicate corrective action plans that are proportional to the severity of the variance and the scale of hospital operations.

Medical Record Reviews:

  • Lead or assist in conducting detailed medical record reviews as requested, ensuring thoroughness and adherence to established protocols.

Preceptor Responsibilities:

  • Serve as a preceptor for new Donation Program Managers, providing mentorship, guidance, and structured training to ensure their successful integration and development within the role.

Additional Responsibilities:

  • Take on leadership roles in organizational projects and process improvement efforts as assigned. Contribute to the overall success of We Are Sharing Hope SC by applying advanced expertise to enhance donation programs across the organization.

Qualifications

Qualifications, Education & Experience

Education: Bachelor’s degree preferred or equivalent OPO or Healthcare experience.

Experience: Minimum of three (3) years of experience in marketing, education, and/or healthcare. Extensive experience working in large, complex healthcare settings or with high-volume donation programs is strongly preferred.

Skills and Abilities:

  • Advanced interpersonal communication skills with the ability to build and maintain relationships at all levels within large hospital systems.
  • Proven experience in strategic planning and implementation in high-pressure, complex environments.
  • Strong analytical skills with the ability to interpret complex data and make informed decisions.
  • In-depth knowledge of medical terminology and donation-related processes.
  • Exceptional public speaking and presentation skills.
