Summary
The Quality Coordinator is responsible for ensuring the accuracy and completeness of documentation, coordinating quality control activities, and supporting quality investigations. This role involves reviewing Electronic Medical Records (EMR), communicating results, performing audits, and providing training on Quality Management System (QMS) procedures and policies. Additionally, the Quality Coordinator is responsible for the collation, review, distribution, and filing of tissue and organ donor records.
Essential Duties & Responsibilities
- Documentation Coordination:
- Review Electronic Medical Records (EMR) for completeness, suitability, and GDP guidelines for approval and closure.
- Communicate results with external and internal departments to release or gather corrections needed.
- Escalate issues appropriately for guidance from Quality Leadership, AOC, and Medical Director.
- Collate, review, distribute, and file tissue and organ donor records.
- Quality Management System (QMS):
- Effectively communicate and train on QMS procedures and policies to all employees and management.
- Provide reports on the performance of QMS to the leadership team.
- Perform random audits to assess process quality.
- Resolve communication issues and/or notify appropriate staff.
- Coordinate and participate in both internal and external audits.
- Support quality investigations with trace information, as needed.
- Customer Service:
- Provide exemplary customer service.
- Case Management:
- Identify and review donor screening/authorization paperwork from the EMR for completeness and accuracy.
- Obtain and review donor tissue recovery forms for completeness and accuracy.
- Perform QC reviews of tissue donor recovery records and enter required data into the EMR.
- Perform final blood sample suitability assessments.
- Request medical records from outside agencies and autopsy/toxicology reports from coroners/pathologists.
- Initiate non-conformance workflows when necessary.
- Assemble and review tissue final donor records/charts, finalize data entry into the EMR, and forward copies to tissue processing partners.
- Obtain, review, and disseminate serology, culture, and autopsy/toxicology/pathology reports to appropriate tissue processing partners and other departments.
- File donor records and upload completed donor records to the EMR.
- Prepare statistical and performance reports as requested.
- Other Duties:

Qualifications
Qualifications, Education & Experience
- Knowledge of human anatomy, human physiology, and medical terminology
- Quality assurance experience preferred;
- Experience in reviewing and interpreting medical records/charts;
- Critical thinking skills; or,
- An equivalent combination of education and experience.
- QC 1 – QC 2 – QC 3 (Entry – Intermediate Competency):
- AS degree or 2 years of professional related experience.
- Critical thinking skills.
- Strong analytical and organizational skills.
- Ability to perform well in stressful situations.
- An equivalent combination of education and experience.
- QC 3 – QC 4 (Intermediate – Advanced Competency):
- Bachelor’s degree or 3-5 years of experience in a related field.
- Demonstrates a strong understanding of quality principles and practices.
- Proficient in root cause analysis and continuous improvement methodologies.
- Strong written and verbal communication skills in a professional environment.
- Exceptional sense of integrity.
- An equivalent combination of education and experience.
- QC 5 (Advanced – Expert Competency):
- 5-10 years of experience.
- Demonstrates a strong understanding of quality principles and practices.
- Exceptional attention to detail, analytical/critical thinking skills, and problem-solving.
