Position Summary
We are seeking a skilled and organized Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in maintaining the efficient operation of our office and providing support to various departments. The ideal candidate is a proactive multitasker with excellent communication skills and a keen attention to detail.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Greet visitors warmly and assist them by providing information and directions, ensuring a welcoming and professional atmosphere.
- Maintain confidentiality while organizing and managing files and databases, safeguarding sensitive information.
- Efficiently handle communication via emails and phone calls, responding promptly and directing inquiries to the appropriate personnel.
- Screen incoming phone calls, redirect calls as necessary, and accurately take messages for team members.
- Assist in scheduling appointments, meetings, and reservations as required, optimizing time management for the team.
- Locate and compile information; format reports, graphs, tables, records and other sources of information.
- Assist with special events planning.
- Receive, sort, and distribute incoming mail and deliveries, ensuring efficient distribution within the organization.
- Monitor and replenish office supplies, maintaining an organized inventory and placing orders as needed.
- Utilize office equipment to copy, scan, and store documents, both in physical and digital formats.
- File documents meticulously in physical and digital records for easy retrieval and reference.
- Coordinate travel arrangements for staff, including transportation and accommodations, ensuring smooth logistics.
Qualifications for Administrative Assistant
- High school diploma or general education degree (GED) required. Associate's degree in Business Administration preferred.
- 2-3 years of clerical, secretarial, or office experience, showcasing a strong track record in administrative support.
- Proficiency in computer skills, including Microsoft Office, Google Drive, and Google Documents.
- Exceptional verbal and written communication skills, enabling effective interaction with team members and external parties.
- Adaptable and comfortable in a dynamic environment with shifting demands and priorities.
- Demonstrates a high degree of attention to detail, accuracy, and thoroughness in all tasks.
- Prior experience in data entry and a solid working knowledge of general office equipment.
- Preferred Spanish language comprehension skills, enabling effective communication with a diverse range of team members.
