Position Title: Executive Assistant
Location: Issaquah (Near I-90 & 17th Ave NW)
Job: Part-Time - Approximately 15-20 hours per week
Hours: Monday-Friday, Flexible hours between 8am-3pm
Role Type: In office, 5 days week

We are seeking a proactive and detail-oriented Executive Assistant to support the daily operations of our boutique wealth management office. This role is crucial in ensuring seamless service delivery to our clients and maintaining high organizational and client service standards. The ideal candidate will handle a variety of administrative tasks, demonstrating exceptional communication and organizational skills.

We are an independent wealth management firm, with two Financial Advisors, located in Issaquah, WA. We offer tailored financial services through various custodians and sponsor companies. Our mission is to deliver exceptional financial outcomes for our clients through tailored financial services. We manage individual client portfolios and assist small to medium-sized companies with their 401(k) plans. Our commitment to unparalleled customer service ensures swift and efficient responses to client needs, both virtually and in-person.
Key Responsibilities:
- Perform general office duties, including managing phone calls, emails, and office coordination
- Generate detailed client reports across various platforms
- Communicate regularly with clients, providing updates and addressing inquiries
- Schedule and prepare client meetings, both virtual and in-person
- Complete and send forms for client signatures including physical and e-signatures
- Manage electronic document storage and filing systems
- Maintain client records in the CRM system
- Process Required Minimum Distributions (RMDs) at year-end
- Handle routine client account maintenance items, such as processing name and address changes, bank authorizations, and responding to client queries or issues
- Implement recommendation(s) of the advisor, such as performing opening new accounts or applying for insurance policies, or closing accounts or insurance policies.
- Monitor status of account opening and insurance applications, reporting and recording updates to client and advisor.
- Monitor and manage office supplies, coordinating timely procurement to avoid disruptions.
- Coordinate client gifts, cards, and flowers to acknowledge milestones and life events
- Other duties as assigned
Required Skills and Qualifications:
- Minimum 3 years of office or administrative experience, preferably within the financial services industry
- Exceptional verbal and written communication skills
- Strong organizational skills with the ability to prioritize and multitask effectively
- Excellent time management and ability to meet deadlines
- Strong problem-solving and decision-making capabilities
- Ability to work proactively and independently
- Strong interpersonal skills, with the ability to foster positive relationships with clients and team members
Job Type: Part-time
Pay: $22.00 - $32.00 per hour
