The role of our administrative assistant is to be the first point of contact, a warm and friendly welcome for our clients and prospects, vendors, and strategic partners.
Your positive attitude will enhance our client experience, while your organizational aptitude will support the administrative and operational functions of the Tax department.
Our ideal candidate works well as part of a team and does not get ruffled by high pressure deadlines.
Position Summary
We are seeking a detail-oriented and organized Administrative Assistant with experience in a tax or accounting environment. The ideal candidate will support our tax team and deliver exceptional client assistance. The ideal candidate is familiar with tax processes, maintains confidentiality, and has the ability to handle a fast-paced, deadline-driven environment.
Key Responsibilities
- Provide administrative support to the tax team, including scheduling, correspondence, and maintaining records.
- Manage incoming calls, emails, and client inquiries, directing them appropriately and ensuring prompt follow-up.
- Maintain and organize tax files, ensuring all documents are accurate and stored securely in compliance with regulations.
- Coordinate meetings, appointments, and calendars for team members, ensuring timely communication and preparation.
- Assist in preparing tax returns, extensions, and other necessary filings under the supervision of the tax team.
- Monitor and track deadlines for tax filings, client deliverables, and compliance requirements.
- Input data into tax software systems and generate reports as required.
- Liaise with clients to gather necessary information, resolve basic inquiries, and maintain a high level of client service.
- Perform other general administrative duties as assigned.
Qualifications
Required:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and tax preparation software (e.g., [specific software, if applicable]).
- Strong organizational and multitasking skills with an ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
Preferred:
- Familiarity with tax forms, deadlines, and basic compliance requirements.
- High level of discretion and ability to handle sensitive information with confidentiality.
- Experience with Drake tax or accounting software, and QuickBooks.
- Knowledge of federal, state, and local tax processes and regulations.
