Position Summary:
The Data Coordinator plays a vital role in supporting both the Philanthropy and Grants and Contracts teams by maintaining data systems, pulling data, performing administrative tasks, and ensuring data accuracy. This position will help maintain and monitor data, assist with data entry, and support the day-to-day administrative needs of the Grants and Contracts department.
The ideal candidate will be detail-oriented and efficient, with a strong aptitude for working with data management tools. They will also possess strong organizational and administrative skills to provide essential support in both departments. The role requires adaptability, effective communication, and proficiency with new databases and systems.
This position offers an excellent opportunity for someone who is passionate about supporting the infrastructure of data, systems, and processes while helping to advance WEAVEs mission. This position may be eligible for hybrid work model once onboarding and training is completed.
Essential Philanthropy Functions:
Data Reporting and Database Management – 45%
- Assess and produce relevant, standard, or custom information from structured data sources by querying data repositories and generating the associated information.
- Identify new sources of data and methods to improve data collection, analysis, and reporting.
- Validate data thoroughly to ensure integrity of all subsequent manipulation and analysis.
- Collect, manage, and clean datasets related to the report generation for the purposes of reporting and engaging donors.
- Distribute reports to applicable staff, management, and external partners.
- Participate in the implementation of data standards and common data elements for data collection.
- Solve common and unique problem using reasoning and judgment to develop practical, thorough, and creative solutions.
- Regularly update constituent information in the donor database and maintain the organization’s data integrity efforts.
- Support entry of gift information and other data into donor database.
Other Responsibilities – 5%
- Attend and participates as a member of the Philanthropy Team in meetings to formulate and implement policies and plans to meet the organization’s goals.
- Attend and participate in staff and other agency-wide meetings and committees.
- Other job duties as assigned.
Essential Grants and Contract Functions:
General Grants Management – 15%
- Prepares grant summaries for new awards and renewals; updates summaries as needed based on modifications.
- Drafts slides and helps schedule and coordinate new grant orientations for staff
- Secures and Maintains MOUs, Operational Agreements (OAs), Second Tier Subawards, and Letters of Support required by funders
- Maintains Grant Reporting schedule
- Maintains the agency organizational chart
Data and Reporting – 35%
- Establishes data collection procedures and works with program staff to monitor grant objectives throughout grant period
- Ensures understanding of program grants and their objectives with program managers to establish clear guidelines and deadlines for reports
- Provides support to program managers in completion of grant reports, ensuring data integrity, completion of reporting requirements, and ensuring timely submission.
- Assists the grant & contracts team with assigned grants portfolio including retrieving data reports, collecting narrative responses, success stories and anecdotal information from program staff, and writing, reviewing, and submitting reports in a timely manner.
- Fields grant/progress report related data requests from program managers in collaboration with Database Administrator
- Maintains grant related volunteer data, e.g., sign-in sheets, reports, etc.
- Works collaboratively with the Director of Grants & Contracts and Database Administrator to coordinate and conduct quarterly data team meetings.
- Assists in submitting all VOCA required OVC PMT Quarterly reports
- Assists the Director of Grants & Contracts with all ETO training requests
Qualifications:
- Bachelor's degree or a combination of education and relevant experience. Experience in a quantitative discipline such as economics, finance, or statistics.
- Three years related experience in data analytics and research
- Knowledge and demonstrated experience using and applying analytical software, database management system software, database reporting software, database user interface and query software, and data mining software.
- Demonstrated experience working with complex datasets in a distributed data environment.
- Excellent written communication and presentation skills.
- Ability to organize time effectively and work on a variety of projects in the same timeframe.
- High level of accuracy, organizational skills, and ability to handle multiple tasks.
- Advanced proficiency in Microsoft 365
- Experience working in a fast-paced detail-oriented environment
- Preferred but not required; applying processes related to charitable giving, preferably for a non-profit organization.
- Professional experience in the nonprofit sector is strongly desired.
- Ability to work with minimal supervision.

Work environment is primarily in a busy office setting, but this position does have the flexibility to explore remote working options. Local travel may be required in the set-up/or attendance of off-site events. Continuously perform the following: Lift and carry 25 lbs., extend both arms above the head and/or reach below the waist; stoop, squat, crawl, bend the back to open lower-level filing drawers, or to retrieve stored items; climb a ladder to retrieve items from shelves; climb stairs or use an elevator. Employee may also need to remain in one position (i.e., sitting or standing) for an extended period of time while completing work task. Must be able to efficiently operate a keyboard and mouse or adaptive equivalent, take notes; utilize desk tools such as phones, and utilize larger office equipment such as printers and copy machines. Speak at a vocal volume that can be heard in groups and communicate clearly and concisely to others.
