Job Description

The Project Administrative Assistant will play an essential role in overseeing financial operations related to construction projects and contract management. The ideal person for the job will have general cost accounting knowledge, a problem solver with excellent communication skills and impeccable attention to detail. He/she will have previous construction accounting experience handling a variety of accounting functions including AR, AP and liens waivers. The ability to multitask, manage complex schedules, work independently, and meet changing deadlines is essential to the position.
Essential Duties and Responsibilities of this Role:
- Performs general cost accounting and other related duties for the organization.
- Process pre-approved contracts by reviewing, emailing, tracking and uploading and new setup in Knowify system.
- Manage project budgets, track project expenses, WIP reports, and handle job cost accounting to maintain project profitability.
- Process AP invoices for payment and track payables.
- Billing, NTO’s, and lien releases.
- General office support such as filing, data entry and maintaining office supplies
- Provide front desk coverage, including answering phones, greet guest and maintain incoming/outgoing mail.
- Assist with collections.
- Assist with Section 3 and Certified payroll reports.
- Assist Accounting Manager with month-end closing processes.
- Performs other related duties as assigned.
Skills and Qualifications
- 3 years construction experience with job cost
- Understanding of Florida Lien Rights
- Knowledge of AIA billing process, lien waivers and NTO’s is a must
- Knowledge of construction terminology
- Knowledge of WIP reports
- Proven administrative experience
- Superb written and verbal communication skills
- Proficient in Microsoft Office, with aptitude to learn new software and systems
- Excellent time management skills with a proven ability to meet deadlines
- Strong analytical and problem-solving skills
- Comfortable handling confidential information
Job Type: Full-time
Pay: $45,000.00 - $52,000.00 per year
