Job Summary: We are seeking an energetic, patient-focused Front Desk Concierge to serve as the welcoming face and supportive "BFF" for our clients. This role is key to ensuring patients feel valued, understood, and guided throughout their experience at Dr. Kat’s clinic. From billing and scheduling to emotional support and retention efforts, the concierge is an integral part of delivering an outstanding patient experience.
Key Responsibilities:
Front Desk & Patient Interaction:
- Welcome clients warmly and assist with check-ins, ensuring they feel comfortable and prepared for their appointments.
- Monitor patient flow to ensure clients are not waiting excessively and feel cared for at every step.
- Provide patients with directions or assistance as needed to ensure they are never lost or unsure of the process.
Billing & Financial Discussions:
- Handle billing inquiries with professionalism and confidence, including presenting treatment costs, processing payments, and discussing financing options.
- Ensure transparency in financial discussions to build trust with clients.
Patient Retention & Engagement:
- Build meaningful relationships with patients by listening to their needs and ensuring they feel supported.
- Follow up with clients post-treatment to check on their satisfaction and offer additional guidance/services as needed.
- Implement retention strategies to encourage repeat visits and loyalty, including communicating upcoming specials or new services.
Sales & Product/Service Knowledge:
- Develop a strong understanding of the clinic’s products and services to confidently educate and upsell patients on treatments that align with their goals.
- Review Dr. Kat’s notes after each consultation to identify opportunities for recommending additional services or products to enhance the patient’s journey to health and wellness.
Emotional Support & Guidance:
- Be a compassionate and understanding guide for patients who may need reassurance or hand-holding throughout their treatment journey.
- Ensure every patient leaves feeling confident, cared for, and satisfied with their experience.
Administrative Support:
- Manage appointment scheduling and confirmations, ensuring accurate records and efficient booking.
- Maintain organized patient files and ensure HIPAA compliance.
- Collaborate with the clinical and aesthetic teams to provide seamless care coordination.
Qualifications:
Skills & Experience:
- Previous experience in a medical office, med spa, or similar customer-facing role is preferred.
- Strong interpersonal and communication skills with the ability to handle sensitive discussions around money and treatments.
- Familiarity with scheduling systems and electronic medical record (EMR) software.
- Knowledge of billing processes and financial discussions is a plus.
