Job Summary
We are seeking an experienced Receptionist that is motivated, outgoing and who can help our team function efficiently. As our receptionist, you will be the first point of contact with our clients. This is an important role that will set the tone for our company’s relationship with each client.
In this position, your job will be to provide administrative support to our entire organization. You will need to welcome guests, answer their questions and assist with client requests. You will also be handling heavy phone calls and following up with clients as needed.
Other responsibilities include responding to emails, distributing correspondence and handling new client inquiries. Qualified candidates will have strong communication skills as well as a positive, friendly and professional demeanor.
Responsibilities
· Open office and check that equipment is stocked and in order
· Greet clients and visitors as they enter the office
· Answer telephone calls, transfer calls as needed and check voicemail messages
· Maintain clean and organized reception area and main office spaces
· Handle various communications received via emails, faxes and mail
· Schedule appointments, maintain calendar and ensure that relevant staff are notified and prepared prior to appointment date and time
· Assist with various clerical and administrative tasks, such as composing correspondence, copying, scanning and faxing
· Sort and distribute incoming mail and deliveries and process outgoing mail
· Manage inventory of office supplies
· Maintain an organized filing system
Qualifications
· Proven experience in an office setting as a receptionist, front office representative or related position - work experience in an accounting office is a plus
· Professional attitude and appearance
· Experience handling multi-line phone system
· Experience operating office equipment, such as copier, printer and fax machine
· The knowledge and technical ability to use scheduling software and Microsoft Office products, including Word, Excel and Outlook and familiarity with Office Tools
· Ability to thrive in a fast-paced setting
· Strong multi-tasking, organizational and time management skills
· Adherence to scheduled work hours
