Job Description Summary
Under general supervision, performs administrative support and assistance to all Pretrial Services program functions within the Justice Services Department. Provides a high level of administrative support, requiring confidentiality, special terminology, and exercise of independent judgment, with more complex problems or questions referred to supervisory staff. Reports to the Pretrial Services Manager.

Job Description
Client Relations - 30%
  • Answer telephone calls and receive inquiries in person from judicial officers, county personnel, criminal defendants, offenders, and the general public, providing information based on knowledge of Alternative Sentencing Programs or the department's programs and activities, or refer callers to appropriate personnel, as necessary; route messages to personnel, as necessary; assists adults ordered to Alternative Sentencing Programs to include completing all applicable paperwork.
  • Review with and furnish information to individuals on reporting instructions to applicable Alternative Sentencing Programs.
  • In unison with personnel, notify and/or inform collateral agencies and individuals regarding the status of individuals in Alternative Sentencing Programs. Respond to the myriad of citizen, county, court and law enforcement requests, on the status and needs of individuals in any of the Alternative Sentencing Programs.
  • Assist in the processing of written correspondence related to the supervision and care of persons in Alternative Programs.

Administrative Support - 60%
  • Establish and maintain a variety of tangible files, filing and retrieve written or electronic information as requested or otherwise necessary. Utilize computerized data entry equipment and various word processing, spreadsheet and/or file maintenance programs to enter, store and/or retrieve information as requested or otherwise necessary. Utilize county, judicial, state databases to obtain criminal history and status information about persons assigned to Alternative Programs.
  • Sort incoming mail according to prioritized need of attention; open mail, route and distribute as appropriate; and prepare outgoing mail as necessary.
  • Assist in preparation of client intakes to programs. Document and report outcomes for supervisor as needed. Input outcomes into relevant data management systems.
  • Collect and process all applicable service fees from Work Release clients. Perform moderately complex accounting work; receive and verify information from various sources and enter data into ledgers and other electronic records. Prepare statistical reports and produce financial information as directed and in compliance with all County Accounting procedures.

Meetings & Trainings - 10%
  • To enhance and maintain knowledge of trends and developments in the field of alternative correctional services, attend seminars, conferences, workshops, classes, and lectures, as appropriate. Keep informed of new laws and ordinances, answering questions or inquiries from other departments, the Courts and/or the public.
  • Attend monthly staff meetings.

Required Qualifications
Required Education
  • High School Diploma/GED
Experience Qualifications
  • 1 year experience in an increasingly responsible position in an office setting, or any equivalent combination of education and experience.
Skills and Abilities
  • Knowledge of organization, programs, events and operations of the department and the County.
  • Knowledge of arithmetic, grammar, spelling, punctuation and vocabulary.
  • Knowledge of modern office practices, methods and procedures used by the County.
  • Ability to exercise tact and courtesy in frequent contact with offenders as well as with various county, court and other public officials with differing levels of authority and influence and the general public; Establish and maintain effective working relationships with judicial officers, county employees, representatives of other agencies and organizations, and members of the community;
  • Work harmoniously with offenders and with other Department, County and Court personnel;
  • Comprehend frequently used terms in criminal justice systems; and
  • Process and enter large volumes of data into various databases, interpret data and effectively use common software applications; query local and state databases.
Licenses and Certifications
  • Driver License, Valid and in State Upon Hire Required
This position is non- exempt compensation to determine FLSA status from the minimum wage and overtime requirements of the Fair Labor Standards Act.

This range encompasses the nine pay steps available should you receive the position and demonstrate satisfactory performance over time.
