Office Assistant
Job Duties:
We are a Child Placing Agency; whereas we place abandoned children in verified foster care placements. To assist in the agency being proficient in all duties regarding the care and best interest of our children, our agency is looking for a highly mature individual to provide administrative support to our dedicated office team. These duties include, but are not limited to the following:
· Coordinate and manage projects, ensuring deadlines are met timely
· Maintain and organize office files and documents
· Answer phone calls, take notes and messages, and distribute all inquiries to appropriate persons and staff
· Schedule appointments, maintain incoming and outgoing emails, and manage calendars
· Assist with data entry, light record keeping, filing, and assist in maintaining audit compliance
· Prepare and distribute memos, emails and other correspondences
· Transcribe meeting minutes and other important documents
Qualifications:
· Previous experience in an administrative role preferred, but not required; however, the agency is willing to train the right candidate
· Strong organizational skills and the ability to pay attention to detail
· Skilled in typing and data entry
· Some quick book knowledge or other similar accounting software is a plus
· Excellent phone etiquette and communication skills
· Ability to multi-task and prioritize workload
· Familiar with TEAMS, Goggle-Connect and other virtual software programs
· Experience working in a non-profit environment
· HS Diploma/GED – equivalent training and background
This is a great opportunity for a highly mature individual that is able to devote and commit their time and efforts in working in a team environment. The person should have some knowledge of the foster care industry; however, such is not a requirement. The job requires a person to be flexible, and the ability to work in a moderate-pace environment. The person should be able to work part-time with office hours varying at times.
