Key Responsibilities
Administrative Support
Assist the Clinical Manager in overseeing daily operations, including scheduling, patient flow, and staff coordination.
Supervise front desk operations, ensuring excellent phone etiquette and customer service.
Handle correspondence, emails, and phone calls.
Maintain accurate patient records and ensure compliance with privacy regulations (e.g., HIPAA).
Organize meetings, take minutes, and follow up on action items.
Patient Experience
Greet patients and families warmly and address questions or concerns promptly.
Ensure a welcoming and comfortable environment that reflects the clinic’s holistic values.
Assist with patient intake, forms, and appointment reminders.
Facilitate communication between patients and providers as needed.
Operational Coordination
Support the Clinical Manager in managing inventory of supplements, remedies, and supplies.
Coordinate with vendors, service providers, and other external partners.
Assist with staff scheduling and monitor clinic workflows for efficiency.
Help implement and maintain clinic policies and procedures.
Marketing and Community Engagement
Assist with social media content creation, email newsletters, and promotional materials.
Coordinate patient education initiatives, workshops, and community outreach events.
Maintain an active presence in fostering relationships with local organizations aligned with the clinic’s mission.
Qualifications
Proven experience in healthcare administration or similar support role, preferably in pediatrics or holistic medicine.
Excellent communication and interpersonal skills, with a focus on customer service.
Strong organizational and time management abilities, with attention to detail.
Proficiency in office software (e.g., Microsoft Office, Google Workspace) and experience with electronic medical record (EMR) systems.
Knowledge or interest in holistic medicine and pediatrics is a strong plus.
Ability to handle sensitive information with discretion and professionalism.
