What are the responsibilities and job description for the Field Administrator- Onsite in Pewaukee, WI, 19 hours a week position at Wellabe?
Under joint supervision of Home Office Sales Operations Manager and the Field Agency Sales Office Manager, completes tasks to assist in operating the field office.
ESSENTIAL FUNCTIONS

- Assemble materials for weekly field office meeting to ensure preparation for meeting is complete by photocopying materials, and printing reports. Performs support services to assist Manager by organizing office, ensuring the space is neat and tidy, addressing and sending thank you/birthday cards; and greeting people.
- Order supplies and sales kits/sales materials to ensure supplies are available for use.
- Assist new Agents with process of accessing on-line contracting to ensure required process is complete by showing agents the on-line system, making sure necessary documents are complete; reviewing information; sending any required documents to the Home Office; scheduling for new agents' photo's to be taken; providing them access information to SOAR to get training done; and following up on status of new representative.
- Assist Office Manager in mailings to ensure client/agent has all pertinent information by creating content, receiving names and addresses of potential client/agent; assembling information; addressing/labeling and mailing.
- Respond to telephone calls to facilitate communications by taking messages or assisting caller as appropriate. May do some outreach calls to clients to schedule appointments or gauge interest
- Process mail to facilitate workflow by opening, sorting, and distributing mail; organizing mail delivery for each Agent; sending mail to Home Office; and forwarding mail to Agents that are terminated.
- Assist with recruiting efforts to recruit new Agents by reviewing candidates, scheduling appointments/interviews, completing initial screening and assembling recruiting kits.
- Assist Manager with assigning leads to ensure Agents are receiving leads by sending e-mails or printing leads to distribute to agents.
- Act as a liaison between the Field Manager and Home Office departments to obtain various information regarding issues that need to be addressed by contacting the appropriate person in the Home Office and obtaining required information.
- Gather, perform data entry, access, utilize, and disclose individually identifiable information and medical information to perform specific functions of the position in accordance with Company policies and procedures, and as required by law.
Performs other related duties as necessary or assigned.

EDUCATION AND EXPERIENCE
Education
- High school education required with two years similar office clerical experience preferred.
Experience
- 2 years office clerical experience, a plus.
- Proficiency in Microsoft applications (Word, Excel, Access, Canva etc.) preferred.
