Job Description
The Administrative Assistant provides administrative support to the Major Gifts and Leadership Annual Giving frontline fundraisers and Director and assists the team members in their outreach, cultivation, and solicitation of philanthropic support. The Administrative Assistant will provide high-quality work in a fast-paced environment with multiple competing deadlines, exercising the utmost discretion at all times.
Database (Affinaquest) use:
- Complete prospect coding, tracking of donor activity including visits, phone conversations, and correspondence.
- Update prospect and donor readiness codes, event invitation and participation, communication preferences, topic interests.
- Develop, manipulate, and distribute data reports to identify opportunities and track prospect and donor activity.
Gift Officer Support:
- Assist in scheduling virtual and in-person meetings with prospects and donors.
- Draft donor briefings for meetings, including requesting and integrating updated research.
- Coordinate local, national, and occasional international travel for team.
- Complete expense reports and ensure that appropriate reimbursements are made.
- Partner with Development Office administrative assistants as needed in a collegial and team-oriented fashion.
Donor Service:
- Assist in the planning and execution of a full range of cultivation, engagement, stewardship, and thank-you communications and events.
- Provide donors with materials and correspondence as requested, ensuring timeliness and accuracy of response.
Basic Qualifications:
Education Required:
- Bachelor’s degree preferred. High school diploma required.
Experience Required:
- Three or more years of progressive administrative experience is preferred. Experience in an educational setting is preferred but not required. Interest in philanthropy a plus.
Skills and Abilities:
- Excellent oral and written communication skills.
- Excellent organizational skills and keen attention to detail.
- Excellent interpersonal skills, including poise, professionalism, and discretion with confidential information. Strong computer and office software skills. Affinity for customer relations management (CRM) databases and data entry.
- Ability to handle numerous and concurrent tasks with varied and specific deadlines.
- The ability to collaborate, as well as to work independently and proactively in a fast-paced environment is essential.
- Ability to work remotely and to support staff who work both on campus and remotely.
