Our client is an established and respected international manufacturer of food and nutritional ingredients sold to manufacturers of food, beverage, and nutraceutical / nutritional products. We are searching for a Logistics and Inventory professional, based in Northern New Jersey, to manage the company’s logistics and inventory functions, including import and export related activities, order processing (inbound & outbound), demand-based shipment forecasting, warehousing, and sample library management. This role also provides business operations support including office support tasks.
Duties and Responsibilities :
Product Import and Warehousing
- Based on demand, generate POs (in ERP) for inbound product (direct ship to customers and replenishment stock to 3PLs)
- Review daily report of vessel bookings for inbound material and update internal records / stakeholders as appropriate
- Support customs broker in managing product import related activities and documentation from pre-clearance through receipt into 3PL warehouses
- Review 3PL product receiver documentation to ensure accuracy; identify & resolve discrepancies; coordinate with Finance Manager to receive material into ERP system
- Review product import, transit and warehousing vendor invoices for accuracy.
- Manage and maintain active 3PL warehouse relationships and activities in US and EU
- Assist in identifying areas of improvement and cost reduction
- throughout import and warehousing functions
Outbound Order Management / Processing
Process customer orders in a timely manner using company’s ERP system (customer PO entry through invoicing)Submit orders and manage all interactions with company’s 3PL groups and systems to ensure on-time and in-full delivery of outbound ordersWork with customs broker / forwarder to export material, as neededReview month-end reports to identify differences in expected vs. actual outbound shipments / salesReview outbound order transit invoices for accuracy.Coordinate with ERP team at parent company as needed to refine processes, investigate oddities, etc.Inventory Management
In conjunction with President and sales team, review, update and submit regular shipment forecasts to business units (demand planning)Maintain accurate inventory records (both within and outside ERP) to ensure stock on hand is managed and tracked effectivelyEnsure damage reporting protocols are followed in a low-damage incidence environmentGenerate reports for key products as needed / upon requestReview monthly handling / storage, accessorial services & reoccurring storage invoice from warehouses for accuracyManage inventory reconciliation in conjunction with Finance Manager (4x / year as needed to reconcile any discrepancies)Sample Library Management
Proactively manage sample inventory including :o Preparing / sending sample shipments to customers
o Tracking transit / updating appropriate team member(s)
o Maintaining accurate sample inventory
Reviewing sample stocks with sales team & requisitioning replenishment samples to ensure adequate stocks are available when neededCustomer Service
Review and confirm new customer orders promptly after their receiptManage customer credit limits aligned with internal policy and practices to ensure orders ship on time and in fullSet up new customer accounts as neededPromptly and accurately deliver customer documentation requestsDeliver comprehensive and accurate order and invoice management summaries to the team during weekly review meetingsMaintain a high level of awareness and communication with customers regarding order status, documentation, samples and paymentsAnticipate and proactively work to resolve and communicate any order or service issuesSkills / Knowledge / Experience Required :
Associate’s degree or Bachelor’s degree is required4 years in B2B supply chain management, with international experience in specialty / functional ingredients or chemicals preferredPrior experience working for a manufacturer or distributor of food ingredients or raw materials sold to companies that produce either food, beverage, or nutritional products. Products could be things like acidulants, phosphates, sorbates, preservatives, emulsifiers, gums, hydrocolloids, pectins, fiber, whey protein, anhydrous milk fat, plant-based proteins (soy, pea, wheat), sweeteners, fatty acids, starches, enzymes, and gelatin.Exceptional relationship skills and ability to build and maintain productive relationshipsRapid absorption of informationStrong ability to communicate effectively both internally and externallyExceptional written and oral communication and interpersonal skills.Exceptional prioritization and time managementExperience working with an ERP required – JD Edwards preferredHighly proficient in Microsoft Office programs including Word and ExcelA Self Starter and independent thinkerThis is a hybrid position so the new employee will work from home part of the time as well as travel to the 2 offices, near Bridgewater NJ and Allentown PA, and a few times per month.
