POSITION TITLE: Purchasing Agent
PROGRAM: Administration
GENERAL STATEMENT OF RESPONSIBILITIES:
Purchasing Agent/Clerk will be responsible for purchasing of all food and household supplies for the residential facilities of Wellmore, Inc.
SUPERVISION: Supervised by: Facilities Director (or designee)
EXAMPLES OF RESPONSIBILITIES:
- Work in conjunction with Facilities Director (or his/her designee) to maintain bulk purchases and to ensure clean and orderly bulk purchase inventory for all residential program needs.
- Ensure purchase of non-bulk food items are timely and consistent with established menu cycles for all programs.
- Ensures purchases of other household supplies (linens, pillows, towels, personal hygiene items, baby items, etc) are completed timely and consistent.
- Act as point person for all residential programs to contact for needed food items not found on site.
- Ensure all purchases fall within established budgets for each program. Ensure documentation and cost allocations are used for accurate accounts payable process.
- Ensure proper back up (receipts, invoices, etc.) are attached, accurate and timely submitted to finance.
- Ensure timely delivery of purchased items guaranteeing the highest quality and freshness of goods.
- Maintain a complete inventory of goods at each location especially for 2nd/3rd shifts and weekend menus.
- Ensure that inventory is properly rotated and access to inventory is utilized effectively within appropriate date-code protocols
- Maintain a thorough understanding of the Food Safety and Hygiene Plan to ensure all programs are compliant for licensing and The Joint Commission accreditation standards.
- Follow all food safety regulations for compliance with all applicable US and Connecticut Laws.
- Ensure all kitchens and food storage areas are clean and that programs are practicing good hygiene with cleaning the environment and disinfecting all food prep surfaces after every meal.
- Work in conjunction with Residential Program Managers with coordinating food services, menu prepping and training staff when appropriate.
- Partake in any client meal surveys to ensure continued satisfaction in meals.
- Ensure that any client with special dietary needs are supported with necessary food items.
- Ensure proper food waste disposal protocols are being upheld.
- Ensure all refrigerators, freezers and hot water are running at appropriate temperatures by daily spot checking logs completed by program staff.
- Oversee that daily menu items are available at each location to ensure accurate meal preparation.
- Other duties as assigned by supervisor or senior management
This position is 24 hours a week and the hours are flexible.
Qualifications
EDUCATION & EXPERIENCE:
High school diploma or equivalent. Previous food service experience preferred. Ideal candidate will have food service purchasing, inventory control, menu preparation and meal planning experience. Must have strong food and environmental safety regulation understanding. Must be able to manage multiple work responsibilities at one time and enjoy working with clients and other staff members. Ideal candidate must be a team player, highly organized, energetic and motivated. This position requires prolonged standing, bending, lifting and walking. Candidate will need working knowledge of Word, Outlook and Excel.
LICENSURE/CERTIFICATION/REGISTRATION:
Valid driver’s license, reliable transportation and valid auto insurance.
Food Safety ServeSafe Certification a plus. If not currently certified must complete certification within 3 months of employment
