Location: Bernalillo County Detention Center and downtown Albuquerque Wellness Equity Alliance clinical office
The Wellness Equity Alliance (WEA) is seeking a highly organized and dedicated Administrative Coordinator to support all programming including the Addiction Treatment Program (ATP) and School Based Mobile Health Clinic. This role is essential in maintaining smooth operations. The ideal candidate will have experience in complex administrative coordination. Prior healthcare experience and experience working in a correctional facility is preferred, and bilingual candidates (English/Spanish) are encouraged to apply. Must be able to pass a background check.

Job Description: Administrative Coordinator for Wellness Equity Alliance

Key Responsibilities
- Utilize Microsoft Office applications (Excel, PowerPoint, Word) to manage administrative tasks, including data entry, reporting, and document creation.
- Review and analyze work processes, such as record-keeping and document control, and implement improvements where necessary.
- Collect, compile, and format data for reports, graphs, and other informational documents, ensuring proper organization and storage on virtual drives.
- Respond promptly to emails from program stakeholders, including clinicians, staff, and external partners, addressing inquiries related to intake, discharge, or program specifics.
- Take detailed meeting notes, compile them, and distribute them in a timely manner.
- Ensure confidentiality of all program-related information and maintain professional boundaries at all times.
- Support the coordination of staff meetings, special events, and program-specific initiatives.
- Collaborate with WEA leadership and clinicians to collect and analyze data for monthly reports, due by the 15th of each month.
- Manage files and documents using virtual drive systems (e.g., Google Drive, OneDrive) for efficient sharing and organization.
- Organize and coordinate virtual meetings using platforms such as Zoom, Google Meet, and Microsoft Teams while managing electronic communication, including email and calendar systems, to effectively schedule meetings, track deadlines, and facilitate seamless communication with stakeholders.
- Assist in the development and implementation of office policies and procedures.
- Manage supplies and inventory: Oversee the procurement, organization, and maintenance of inventory levels to ensure the availability of necessary supplies. Monitor stock levels, coordinate reordering processes, and maintain accurate inventory records to support operational efficiency.
- Serve as the first point of contact for visitors and callers, providing excellent customer service. Answer incoming phone calls promptly, redirect inquiries as necessary, and manage front desk operations, including greeting visitors, scheduling appointments, and handling general inquiries.
Minimum Qualifications:
- Associate’s or Bachelor’s degree preferred.
- Minimum of three years of relevant administrative experience or coursework with references.
- Ability to communicate effectively, both orally and in writing, using tact and diplomacy.
- Strong multitasking and organizational skills, with keen attention to detail.
- Bilingual candidates (English/Spanish) are preferred but not required.
