What are the responsibilities and job description for the Behavioral Health Program Assistant position at Wellness Treatment Center?
We are a virtual Intensive Outpatient Program (IOP) seeking a part-time Program Assistant. As a virtual role, we need someone who is highly organized, works well independently, motivated, self-driven, trustworthy, with excellent communication skills. We are looking for someone who has a passion for helping others and looking for a long term position.
Responsibilities:
- Answer phones regarding patient inquiries, program promotion, general program information, screen potential new clients, etc.
- Schedule appointments and email appropriate paperwork.
- Update and maintain the shared calendar.
- Coordinate appointment availability with clinicians.
- Send intake supplies to new patients. (this will require ordering supplies and storing at your home office).
- Coordinate client completion of any supplemental forms.
- Score and return patient’s assessments and update the graph weekly.
- Provide medical records upon request and send treatment plans and discharge summaries to outpatient providers weekly.
- Maintain accurate documentation and update various tracking spreadsheets.
- Potential opportunities to process payroll and bookkeeping.
- Flexibility with schedule for occasional administrative coverage.
- Other miscellaneous tasks as assigned.
Qualifications
- Associate’s degree or higher
- Proven experience in medical administrative support and front desk operations
- Proficiency in EHR systems
- Strong computer skills, including Microsoft Office and Excel
- Excellent patient service and clerical skills, with a focus on medical records management
- Background in customer service and health information management
- Experience with health insurance verifications and pre-authorizations preferred
- Experience with Quickbooks and bookkeeping preferred
- Experience processing payroll preferred
- * Revenue Cycle Management experience highly desired*
This currently is a part-time position with potential for full-time.
All work is done remotely, however must be available for occasional errands. These will be shared tasks with other administrative staff: picking up office mail (weekly), bank runs (on occasion), accessing files if needed, and periodic lunch meetings with the medical director is required.
Pay: $22.00 - $26.00 per hour
