WellNest Professional Cleaning is hiring an Administrative Assistant to join our team. We perform both Residential and Commercial Cleaning with clients including local homeowners, foreign embassies, schools, churches, and office buildings.
Administrative Assistant Job Description
Hours: Monday through Friday, 10am to 6pm with Overtime hours available
Recruiting
Manage job board procedures and perform WellNest recruiting procedures, including:
Posting on job boards (really) and refreshing ads weekly to stay at the top
Sending messages from our database using EZ Text
Adding qualified candidates to database
Perform pre-screening over the telephone
Scheduling and confirming interviews
Perform interviews when Managers are unable
Greeting candidates upon arrival
Sending job offers and scheduling paperwork at our office
Supporting completion of paperwork
Adding new hires to payroll system
Customer Service
Answer phone calls when Managers are unable
Perform Customer Feedback Procedure on a daily basis, sending pre-set text messages to the previous day’s clients asking to rate the cleaning and updating the tracker. Send summary to team on a monthly basis.
Billing
Perform daily billing using Stripe, simply following procedures to ensure proper amount charged within the system
Track client frequencies, sending pre-populated message to clients that are not following their frequency
Input revenue and hours numbers on a daily and weekly basis into Daily Reporting Log
Daily Scheduling
Inputting daily jobs within our scheduling software one week in advance, then finalizing three days in advance after processing cancellations and changes. Pull jobs from online software.
Other occasional responsibilities as needed to help the business and the team, including dropping supplies off at local job sites, visiting customers to help solve concerns, visiting new clients.
Qualifications
Must be legally authorized to work in the United States
Must be fully bilingual in Spanish and English
Must have a clean driving record
Must be able to work in our Falls Church, VA office 5 days per week
Proficient in Microsoft Office, Google Suite, and computer applications
3 years in an office setting performing administrative or operations work
Previous experience in the service industry is a plus
Job Type: Full-time
Pay: $21.00 - $22.45 per hour
Expected hours: 40 – 50 per week
