We are seeking an experienced and dynamic Office Manager to oversee daily operations and ensure our clinic runs efficiently and delivers exceptional patient care. The ideal candidate will possess advanced education or extensive managerial experience in healthcare administration, along with the ability to lead a diverse team in a fast-paced environment.
Key Responsibilities:
- Administrative Oversight:
- Manage day-to-day operations of the clinic, including scheduling, staffing, and workflow optimization.
- Ensure compliance with all local, state, and federal regulations, including HIPAA and OSHA standards.
- Staff Management:
- Supervise clinical and administrative staff, including recruitment, training, and performance evaluations.
- Facilitate regular staff meetings to align on goals and improve communication.
- Financial Management:
- Oversee billing, coding, and accounts receivable functions, ensuring timely and accurate submissions.
- Prepare and manage budgets, including tracking expenses and identifying cost-saving opportunities.
- Patient Experience:
- Develop and implement strategies to improve patient satisfaction and retention.
- Resolve patient complaints and concerns with professionalism and empathy.
- Operational Efficiency:
- Monitor clinic workflows to identify inefficiencies and implement process improvements.
- Coordinate with healthcare providers to ensure optimal scheduling and resource allocation.
- Technology and Systems Management:
- Manage electronic health records (EHR) systems and ensure all staff are trained on its use.
- Liaise with IT support to maintain clinic hardware and software systems.
- Strategic Planning:
- Collaborate with the clinic’s leadership to develop and implement long-term growth strategies.
- Monitor healthcare trends to adapt clinic services to meet community needs.
Qualifications: Required Education and Experience:
- Master’s degree in Healthcare Administration, Business Administration, or a related field (or equivalent bachelor’s degree with at least 5 years of progressive managerial experience in healthcare).
- Minimum 3 years of experience in medical office management or healthcare administration.
Skills and Competencies:
- Strong leadership and organizational skills with the ability to manage multiple priorities.
- Knowledge of healthcare regulations, including HIPAA and billing compliance.
- Proficiency with EHR systems, medical coding, and billing practices.
