Clinic Administrator
Full Time, Salaried
Compensation is negotiable and is based upon education and experience
Benefits package includes paid time off, an employee 401K plan, medical, dental and vision benefits when they become available. Some occasional travel is required for conferences and meetings.
Facilities:
Responsible for vendor bids and maintenance of vendors.
Monitors vendor performance, adjusting when needed.
Responsible for facility maintenance and upkeep, calling vendors for repairs when necessary.
Ensuring that the facility is secure.
Clinic Operations:
Evaluates vendors for office needs. Includes data systems, phone systems, electronic needs, security needs, electronic medical record needs, etc... All areas that will ensure the daily function of the clinic.
Monitors and ensures compliance with medical protocols and administrative procedures, HIPPA, CLIA, OSHA and state pharmacy regulations. Submit audit data when assigned; ensure WHA meets agency QA requirements.
Assist with financial oversight of the clinic. Monitors monthly financial statements, to include insurance, private pay and funding. Monitor, track and report patient visits and services acquired. Manages expenses and staffing to ensure successful operations and financial stability. Accountable for submission of financial deposits and logs.
Oversees ordering and accuracy of inventory for medical supplies and administrative supplies. Assures appropriate inventory levels are always maintained and stocked.
Human Relations:
Support training, monitoring and evaluating staff members. Ensures staff are adequately trained to provide flow facilitation.
Post job descriptions as appropriate.
Develop a system for optimal patient flow by providing or assuring flow facilitation on a daily basis that helps meet productivity performance, reduce patient wait times and encourages a positive patient experience.
Promote continuous communication between administrative and medical staff which creates and maintains a teamwork approach.
Continuously monitor and adjust staff schedules to ensure efficient delivery of service and adequate break/lunch times. This includes the authority to make changes in staffing patterns and/or duties to assure optimum flow and patient satisfaction.
Staffing the clinic effectively by hiring, coaching and training staff to provide all clinic services per their job descriptions, monitoring and evaluating staff and in their daily performance.
Prepare, with the physicians, the Physician Schedule, two quarters in advance. For adequate coverage.
Track and calculate Physician Pay.
Responsible for effective utilization of EMR, including oversight of staff usage, training and patient flow. Responsible for ensuring performance of various computer tasks.
Ensures daily, weekly and monthly reports are completed accurately and in a timely manner by appropriate staff.
Requirements for position:
B.A. degree required from an accredited four-year university.
RN or LPN desired.
Minimum two years’ experience in reproductive health care desired, with a working knowledge of abortion care.
An understanding of contracts, procedures and protocols as they pertain to health care and how those documents impact the longevity of the clinic.
The ability to navigate state departments, insurance companies and other credentialing bodies that will have some oversight of the facility and its clinicians.
The ability to think creatively and in a level-headed manner when it comes to problem solving in a medical environment.
The ability to work with people from diverse backgrounds, whether they are staff or patients.
Unequivocal support of abortion rights and for all people to have access to the health care they need.
The ability to work professionally with vendors, suppliers and contractors who will provide goods and services to the medical facility.
Attention to details and deadlines is an absolute must.
An understanding of each staff member’s job and how each position intersects with the success of the facility.
Ability to monitor and evaluate reports accurately so that those reports to governing bodies reflect the work of the clinic correctly.
