Job Summary:

The Mayo eConsult Program Administrator works collaboratively with WellStar leaders, physicians, and staff. Coordinates all eConsult submission information to the Mayo Clinic as well as ongoing updates coming from Mayo's referring physicians. Maintains solid connectivity to the "behind the scenes" operations of the clinical practice and processes in order to pull documents from the EMR (medical records, lab reports, images, pathology). Comfortable using the web, multi-tasking, and navigating IT systems. Ability to work well under pressure and possesses excellent time- management skills. Self-motivated and committed to achieving the best results for the patient. Comfortable asking questions of requesting physicians when further clarification is needed. Knowledgeable about the health care consulting process and ensures that consults are carried out according to the Mayo Clinic Care Network (MCCN) agreement. Provide ongoing training to physicians and staff regarding MCCN core tools and services.

Core Responsibilities and Essential Functions:

- Consolidation of the eConsult intake and submission process.
- Responsible for timely coordination of all eConsult submission information and oversight of the eConsult process.
- Provide solid connectivity to support operations of the clinical practice and process for pulling documents from the EMR: Develop process improvements, as identified or needed. * Medical records * Lab reports * Images * Pathology
- Screen submissions and follow-up with requesting physicians when missing items are identified
- Route Mayo referring physician responses and updates back to member physicians
- Ensure that consults are carried out according to the Mayo Clinic Care Network (MCCN) agreement
- Implement eConsult referring physician satisfaction survey and act upon results. Responsible for planning, and implementing strategies to enhance the Mayo partnership
- Works collaboratively with the Physician Relations, Executive Director, Physician Relations Business Development Consultants, and service line leadership to maximize our Mayo efforts.
- Round with practices and physicians in relations to MCCN. Outreach and education to physicians and practice staff regarding MCCN opportunities.
- Tracks activities relating to MCCN and sets monthly targets to elevate our Mayo relationship.
- Regular outreach to medical staff to maximize Mayo relationship and ROI.
- Creative follow-up with referring MD for every eConsult.
- Sets aggressive targets for eConsult and tumor board growth.
- Primary contact for Mayo relationship for MCCN. Continuously looks for opportunities to leverage Mayo offerings. Responsible for ongoing training of MCCN core tools and services for member users
- Train physicians and staff regarding MCCN processes, tools and offerings: AskMayoExpert, eConsult, eTumor Board, Patient Education materials, CME/Conferences, Health Care Consulting
- Develop training materials such as tip sheets, online learning modules, and step-by-step guides as necessary
- Present an overview of the MCCN relationship to the monthly WMG New Provider Orientation
- Regular meetings with key service lines and physicians to bring new education materials for patients. Provide project management services to operationalize MCCN core tools and services
- Develop updates regarding the health care consulting processes and the overall MCCN relationship utilization
- Coordinate, suggest and communicate changes with responsible departments (IT, Organizational Learning, Physician Relations, Medical Staff, etc.)
- Support ancillary project coordination (Leadership Saves Lives, CME and Grand Rounds knowledge extension opportunities) Maximize the collaborative relationship by Identifying best practices from across the MCCN membership and communicate within WHS. Share WHS best practices with other MCCN members.
- Outreach/connection with other MCCN sites.
- Updates in newsletter to increase awareness of Mayo relationship.
- Prepares leader updates on MCCN activities and opportunities.

Required Minimum Education:

Bachelor's Degree in Sales and Marketing or Healthcare related field Required

Required Minimum License(s) and Certification(s):
All certifications are required upon hire unless otherwise stated.

    Required Minimum Experience:

    Minimum 5 years of experience in the medical or health insurance field Required and
    Appointment coordination and/or medical assistant knowledge Preferred

    Required Minimum Skills:

    Must have technical proficiency in computer applications.
    Working knowledge of healthcare business environment.
    Must have excellent critical thinking skills.
    Must be organized and attentive to detail.
    Must be self-directed, have the ability to work autonomously, and prioritize multiple assignments in a fast-paced environment without direct supervision. Very strong organizational skills.
    Strong communication skills, both written and verbal.
    Able to interface with executives, physicians, and operational and clinical team members on a daily basis.
