Overview
We are a law firm seeking a detail-oriented and organized Medical Records Clerk to join our Legal team. The ideal candidate will be responsible for requesting, sending, and following up on patient records, ensuring accuracy and confidentiality. This role is essential in supporting the smooth operation of our law office and facilitating effective communication among clients, their providers, and the courts.
Responsibilities
- Request and Manage Medical Records: Request medical records from healthcare providers, follow up to ensure timely receipt, and maintain an organized system for both physical and electronic medical records.
- Answer Phones and Emails: Answer and direct incoming phone calls and emails professionally, responding to client inquiries or forwarding them to the appropriate team member.
- Court and Social Security Form Review: Review forms received from both the court and Social Security Administration (SSA). Ensure clients complete these forms accurately, and provide assistance or clarification when needed.
- Client Folder Setup: Set up new client folders, ensuring all relevant documentation, including medical records, court forms, and Social Security documents, are properly organized and easily accessible.
- Administrative Support: Provide general administrative support to attorneys and legal assistants, including organizing case files, scheduling appointments, and preparing legal documents.
- Coordination with Clients and Providers: Serve as a liaison between clients, healthcare providers, and the court/Social Security offices to ensure timely and accurate transmission of documents and records.
- Compliance: Ensure all medical record handling and forms submission are in full compliance with legal, privacy, and regulatory standards (e.g., HIPAA).
Qualifications:
- Education: High school diploma or equivalent required.
- Experience: No prior experience required; administrative or customer service experience is a plus.
- Skills: Basic knowledge of Microsoft Word and Excel.
- Attention to Detail: Ability to accurately handle and organize information.
- Communication: Strong verbal and written communication skills.
- Organizational Skills: Ability to prioritize tasks and manage multiple responsibilities.
- Client Service: Friendly and professional when assisting clients.
- Confidentiality: Ability to handle sensitive information with discretion.
