Job Purpose:
The Sales Administrative Assistant is responsible for providing general office support through a variety of clerical activities and related tasks. As the first point of contact for our customers, this position represents WEMCO in a pleasant and professional manner. The role is highly involved in the company’s daily operations and requires collaboration with all levels of management.
The Sales Administrative Assistant will prioritize tasks and manage expenses effectively. You will analyze administrative operations and strategies to suggest and implement improved work methods and systems. Additionally, you will oversee and coordinate all administrative activities, including organizing meetings and communicating effectively with staff, suppliers, and clients at our new location in Vancouver.
Job Responsibilities:
- Assist with the creation of bid proposals as needed
- Provide inside support to assist Western WA sales reps
- Contact customers by phone or email to answer queries and obtain missing information
- Data entry for new orders in the Western WA region
- Gather and maintain customer information and a direct emailing list for marketing across the Western WA sales region
- Maintain company call list for the Western WA region; keep a profile on all customers
- Communicate important feedback from customers internally
- Maintain and handle a direct mailing list for contractors and architects
- General office/receptionist duties
- Welcome on-site visitors; answer and transfer phone calls to the appropriate personnel; receive, process, and distribute mail daily, and order office supplies as needed
- Assist HR manager in the maintenance of sales employees in the Western WA region;
- Help ensure legal compliance by monitoring and implementing applicable HR federal, state, local, and other governmental requirements; ensure that WEMCO’s policies and procedures are being followed by staff in Vancouver
- Assist Spokane staff with some general accounting functions for the Vancouver office
- Send closed job reports & order acknowledgements to customers
- Create jobs in the system and notify staff when they have been set up
- Update quote list in MS Teams for sales staff
Job Requirements:
- Strong ability in MS Office: Word, Excel, Outlook, etc.
- Strong organizational and time management skills
- Ability to perform tasks without supervision
- Punctual attendance and strong attention to detail
- Strong interpersonal skills and the ability to work as a part of a team
- Associate’s Degree or 1 year of related work experience preferred, will train the right candidate
