Position Purpose and Summary:
As a member of the School of Sciences and Humanities Dean’s office, the operations manager is responsible for overseeing administrative and operational activities within the School. Reporting directly to the Associate Dean in the School of Sciences and Humanities, this staff member is knowledgeable about the goals and initiatives of the School and supports the work of the School to accomplish these goals.
The Operations Manager interacts with faculty, staff and students in the School as well as numerous constituents across the University including the staff in the other schools, in the Provost’s office, in facilities, marketing and communications, and other offices as required.
The Operations Manager is responsible for managing administrative teams, which may include Administrative Assistant(s) or Student Workers; preparation/monitoring of budgets; contract and payroll responsibilities, maintaining faculty records, facilities coordination, and leadership on executive level management of basic operations, special events, and student success initiatives, and communication. The staff member is pro-active in supporting the Dean and the School by generating information, creating reports, setting up events, and managing other operational and administrative duties. The ideal candidate will have a “can-do” attitude, a focus on customer service, a growth mindset for learning new things, and be willing to help as needed for all activities of the Dean’s office and the School.

Essential Functions
Manage Operations
- Attend regular meetings with Dean’s Office staff;
- Develop and communicate policies for smooth operations, including the following: general office management, mail collection, inventory, purchasing of office supplies;
- Identify areas where processes can be streamlined and made efficient through the adaptation of new technologies, training, and products;
- Maintain official records of faculty/staff meetings;
- Maintain and administer the SharePoint and Brightspace sites for shared files among faculty and staff; develop and review site for ease of use;
- Connect new faculty to offices and resources for ease of transition in teaching, policies and procedures, and technology;
- Provide support for scheduling classes including surveying faculty, reviewing student majors’ needs, engaging with other school staff to evaluate class needs and inputting classes into the system in collaboration with the Associate Dean
- Manage (write, distribute and monitor effectiveness) internal communications (memos, email announcements) to faculty, staff;
- Create and update informational brochures for student majors inside the school and in other schools to support their timely graduation
- Manage promotional communications for events (posters, emails, social media, newsletters, digital signage) and distribute to internal/external audiences;
- Monitor website and social media content (school stories/engagement across a variety of platforms: Instagram, Twitter, Facebook, LinkedIn, Wentworth News stories, YouTube);
- Partner with Marketing/Communications in creating and promoting content featuring students, faculty, and staff.
- Collaborate within Academic Affairs to facilitate cross-school initiatives, programming, communications, and events; and
- Conduct other creative projects at the discretion of the Dean
- Develop policies and procedures surrounding reimbursements for faculty and staff members using School funds;
- Monitor the school budgets on WorkDay; maintain detailed records of faculty/staff professional development spending;
- Process and approve invoices and reimbursement requests for faculty/staff, students, and vendors;
- Purchase items as needed by the School, including for faculty, and manage own credit card reconciliations; approve expense reports for purchasing on behalf of the Dean
- Plan and execute events and projects for the School for various internal and external audiences; manage all logistical and promotional activities surrounding events;
- Maintain relationships with corporations, foundations, and partner universities; and
- Develop and maintain relationships with alumni.
- Recruit, hire, train and supervise undergraduate students to serve as office assistants in the Dean’s Office;
- Manage on-boarding processes for full-time and part-time faculty and staff
- Execute other relevant duties and functions based on School needs as assigned by the Dean or Associate Dean;
- Participate in School and Institution committees as assigned.
- Bachelor's Degree
- 3-5 years of office or project management experience (Higher Education administrative experience in lieu of education may be considered).
- Excellent time-management; ability to switch between multiple projects
- Strong verbal, visual, and written communication skills
- Master's degree
- Supervisory experience
- Expertise in Microsoft Office, Outlook, and virtual meeting tools.
- Experience developing and completing creative projects
