SERVICE ADMINISTRATOR- full-time, FREDERICK, MD
Primary Responsibilities
Coordinate invoicing process for service department (using parts, labor, outside purchases, etc.)
The Service Coordinator will:
- Be service oriented.
- Have strong administrative skills.
- Be organized, detail-oriented, a good record keeper, good with numbers, spreadsheet/PC literate.
- Have good communication skills with the ability to effectively interact with customers, vendors and all levels of employees throughout the corporation, while fostering a team environment within the Service Department administration team.
- Be a self-starter, a highly motivated individual with the ability to handle multiple tasks, interruptions and changing priorities.
- Have product knowledge or the aptitude to learn the product in a timely manner.
Main Tasks of Service Administrator
- Invoicing, including verification of work performed prior to invoicing
- Investigating invoice questions for external and internal customers
- Investigating credit card verification issues
- Investigating labor posting questions
- Verification of warranty
- Work in Process management
- Provide reports to technicians (ex. WIP,.)
- Serve as backup for other members of the administrative team, as needed
- Input invoices into SAP
- Ensure warranty parts were returned
- Input new forklift information to Warranty system
- Process warranty claims
- Work with dispatch team for timely invoicing of work orders
