SUMMARY:
Responsible for completing a variety of general administrative duties and providing executive support primarily for the President and CEO, and will include support for other executives and senior officers.

Must be an outstanding communicator with excellent interpersonal skills.

Must be calm and professional in demeanor and able to effectively handle stress.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Answer phones, take detailed phone messages, directs calls to appropriate executive and handles routine inquiries.

Prepares and submits expense reports for the President and CEO

Makes all travel arrangements for the President and CEO

General administrative duties including, but not limited to: scanning, copying, and filing. Prepares letters or memos. Orders office supplies. Distributes information via email and posts to the company intranet. May conduct ticket lotteries for special events.

Utilizes Director’s Desk – prepares for the President’s weekly, monthly, quarterly and annual meetings. Serves as backup to other Executive AA to post information for other Committee meetings as needed.

Prepares e-requisition requests for approval.

Schedules appointments, luncheons and updates calendars in Outlook. Sets up reoccurring meetings.

Retrieves the daily mail from the Mailroom. Sorts and distributes the mail. Retrieves the daily newspaper from the Guard Desk.

Distributes periodicals at the instruction of the President

Updates Signing Resolutions for Branch Locations, managers, and employee changes for board approval.

Attends meetings and records minutes.

Reviews Legal Notices received from regular mail, email or inter-office mail. Determines ownership of Legal Notice for processing. Processes notices as required.

Serves as backup to other Executive Administrative Assistants.

Other duties may be assigned.

OTHER REQUIREMENTS:
Banking is a highly regulated industry and you will be expected to acquire and maintain a proficiency in the Bank's policies and procedures, and adhere to all laws, rules and regulations that are applicable to your conduct and the work you will be performing. You will also be expected to complete all assigned compliance training in a timely manner.

A professional appearance is mandatory.

Must maintain confidentiality in customer relationships, departmental issues and personnel matters.

Proficient in Microsoft Office products including Excel, Word and Outlook with ability to learn other software as needed.

Associates degree (A.A.) or equivalent from two-year college or technical school preferred

Minimum of four years of increasingly responsible professional administrative experience required.
