- Be the Heart of Communication: Answer all incoming calls, texts, and emails, offering exceptional service and ensuring a positive experience for patients.
- Stay Organized & In Control: Utilize your strong organizational skills to manage appointment schedules, data entry, and follow-ups, ensuring accuracy and timely coordination of patient services.
- Provide Outstanding Service: Resolve patient inquiries and concerns with professionalism, ensuring they feel heard, respected, and cared for.
- Collaborate & Support: Work closely with our clinical and medical staff to keep the scheduling process running smoothly and efficiently, ensuring the highest standard of patient care.
- Maintain Confidentiality: Safeguard patient information with the highest level of professionalism, adhering to HIPAA guidelines.
- Be the Problem Solver: Handle cancellations, rescheduling, and patient concerns in a constructive and timely manner, always with a focus on providing the best possible care.
- Go Above and Beyond: Assist with patient referrals, intake forms, work/school excuses, and submitting diagnostic orders—all while delivering the highest quality service!
- A People Person: Excellent communication skills (both oral and written) and a genuine desire to help patients.
- Organized & Detail-Oriented: Ability to juggle multiple tasks, stay on top of scheduling, and follow through with accuracy and precision.
- Tech-Savvy: Comfort with Microsoft Office (Word, Outlook, basic Excel) and experience with Electronic Medical Records (EMR) systems.
- Medical Knowledge: Strong understanding of medical terminology to effectively communicate with patients and medical staff.
- Self-Starter: Ability to work independently, thrive under pressure, and manage competing priorities while maintaining a calm and professional demeanor.
- 3-5 years experience as a Medical Administrative Assistant or in a similar role.
- Solid knowledge of medical terminology and experience with EMR systems.
- Familiarity with the geography of our service areas: Williamson, Rutherford, Davidson, Wilson, and Sumner Counties.
- High School diploma required; additional certifications in medical administration a plus.
