Advancement Services Coordinator

The West Chester University Foundation is currently looking for an Advancement Services Coordinator to join our team. The Advancement Services Coordinator ensures efficiency and timeliness in processing donor and constituent information using best practice techniques to maintain optimal data integrity within the Raisers Edge Database. The Advancement Services Coordinator is responsible for researching, developing, documenting, and implementing best practices and procedures as they relate to record processing.
Essential Job Functions:
- Process gifts according to procedures. Responsible for placing gift in correct constituent, campaign, fund, and appeal. These gifts include cash, checks, credit cards, online gifts, and event registrations.
- Research, develop, document, and implement best practices and procedures as they relate to gift processing. Review Gift Reporting and Recording policy and procedures and update gift office policies and documentation.
- Responsible for creating Net Community event registration pages.
- Produce, distribute, and manage the workflow of gift receipts and choose individualized acknowledgement letters in a timely and accurate fashion.
- Maintain gift office files, documents and records related to gifts and donors.
- Assist in gathering and organizing fundraising data to be shared externally.
- Maintain the integrity of the fundraising database by updating donor and constituent records.
- Conduct data integrity and management projects as needed for various initiatives.
- Respond to donor inquiries and requests for information. Use discretion to determine what information can be shared, when, and if the request needs to be transferred to a director and/or senior director.
- Assist in basic research requests with direction from the Director of Prospect Strategy and Research.
- Assists with memorial gift donors and their related transactions, with the exception of gifts from donors at the major gift level. Create an efficient process for managing memorial gifts.
- Other duties as assigned.
Job Requirements/Qualifications:
- Bachelors degree preferred or any equivalent combination of training and work experience which provides the required knowledge, skills and abilities.
- Data entry experience in office environment required.
- Raisers Edge or database experience preferred.
- Excellent analytical and computational skills and the ability to process large volumes of transactions accurately and in a timely manner.
- Ability to identify and extract pertinent information from source documents.
- Proficiency in MS Office (Word, Excel, Outlook and Teams).
- Effective oral and written communication skills.
- Must demonstrate a strong customer service focus to foster cooperative relationships both internally and externally.
- Excellent organizational skills and proven attention to detail.
- Must be able to work independently with the ability to prioritize multiple projects and meet strict deadlines for deliverables.
- Adept at handling sensitive and confidential information.
Typical Work Conditions:
- Work is performed in an office and / or remote environment (20%) based on manager discretion.
- Extensive time sitting in front of a screen and using a keyboard.
- May work additional hours as needed.
- Use of personal devices (cell phone, personal computer, etc.) may be necessary on occasion to maintain business operations.
Typical Physical Demands:
- Regular use of hands to manipulate office tools and equipment, phones and computer keyboard.
- May lift and move office supplies up to 20 pounds.
- May stand, reach with hands and arms, stoop, and squat to file.
- Sitting for extended periods of time.
- See to read a variety of materials.
- Hear and speak to exchange information.
We are pleased to offer a competitive hourly rate equivalent to approximately $50,000 - $52,000/year and commensurate with experience and ability. The position is budgeted at 37.5 hours/week. This position includes full benefit package such as paid time off, medical, dental and life insurance, and 9.29% employer contribution to retirement plan.
