CMHS is a non-profit training center for graduate students and a clinical research facility for faculty affiliated with the WCU Doctor of Psychology (Psy.D.) program. CMHS provides low-cost, high-quality psychotherapy and psychological assessment services for members of the greater West Chester community and WCU employees. The Violence Intervention and Prevention Mobile Therapy grant allows WCU to provide mobile treatment program to address the mental health needs of youth, young adults, and families affected by gun violence or other trauma-related distress.

The Assistant Program Manager provides support to the Supervising Psychologist including the coordination of services, maintaining records and HIPPA compliance, assisting with department and grant budgets, supervision of staff, and equipment and technical support.  This position requires a high degree of privacy and the utmost respect and confidentiality to maintain the rights of clients receiving services.                      

The ideal candidate will demonstrate office management experience in a mental health or medical setting; experience using electronic health or medical record platforms; strong organizational skills; the ability to work efficiently and independently; and a commitment to diversity, equity, and inclusion.

Responsibilities include:

  • Provide outreach to support staff and students 
  • Manage equipment and electronic clinical resources for community partners including clients and students
  • Reception and onboarding of new clients as needed 
  • Respond to inquiries for services including electronic medical record (EMR) entry and paperwork related to youth development community activities
  • Manage schedule of services for clients and for mobile student clinicians 
  • Coordinate transportation and WCU motor pool as needed.
  • Assist Mobile Therapy Coordinator to research hardware and software 
  • Hardware and software troubleshooting
  • Maintenance of equipment devices
  • Preparation of electronics for next clinician/service including sterilization and mitigation protocol for health and safety 
  • Develop and maintain project website with assistance from WCU IT webmaster
  • Ensure yearly HIPAA training is up to date
  • Ensure that partner agencies, client communication, and records (EMR and paper charts) are in compliance with APA ethical guidelines and state and local regulations
  • Monitor student clinician charts to maintain compliance with guidelines and regulations
  • Assist in the compilation of outcomes data
  • Assist with Mobile Therapy Coordination grant budget
  • Manage accounts payable, accounts receivable, purchasing and other finance-related duties 
  • Supervise unlicensed staff including Administrative Assistant, Graduate Assistants and Mobile Student Clinicians
  • Other duties as assigned
  • Conferred bachelor's degree before May 19, 2025
  • Two years of office administration experience 
  • Experience working with an electronic medical record program
  • DemonstratedMicrosoft Office Suite experience including Outlook, Excel, Word and Adobe products
  • Demonstrated knowledge of HIPAA or Privacy Policy related to mental health records or medical records
  • Office administration experience in a medical or mental health setting
  • Experience with budget management including managing expenses, purchasing and accounts payable
  • Preference will be given to candidates bilingual in English and Spanish
