What are the responsibilities and job description for the Front Office Patient Coordinator position at West Coast Plastic Surgery?
As the Front Office Patient Coordinator, you will be the face of the practice, being the first impression for every call and patient visit. Must possess strong relationship building skills, enjoy delivering excellent customer service and have a serious interest in the growth of the practice. Candidate must be self-driven, organized, and possess excellent communication skills.
· Greet and check-in all patients/and check out patients as services and appointments are completed
· Provide patients with initial documentation, consents and medical history forms and ensure their completion prior to the receipt of their service
· Serve as the primary point-of-contact for all patient inquiries including telephone, email, and website.
· Schedule patients for consultations and aesthetic services, etc.
· Qualify all leads through in-depth information exchange and when appropriate, schedule in office consultations, ultimately converting consults to surgery
· Explaining financial and collection policies to new patients if they have questions
· Work closely with the doctor and staff to provide excellent customer service for patients during the in-office consultation
· Provide Surgery Quotes & collect payments in a timely and accurate fashion
· Schedule patients for surgery/procedures and provide all pre-surgery instructions and necessary information over team approach
· Schedule pre- and post-surgical appointments
· Manage all tasks related to sales and meeting monthly production goals including pulling and analyzing monthly reports
· Handle patient payments including retrieval of surgical funds from outside lending sources
· Demonstrate expertise on services and products available in the practice as well as the skills and training/education of the provider
· Function as primary liaison between patients, staff, and surgeon
· Administrative support functions such as answering phone, booking appointments, greeting patients, accepting payments
· Maintenance of lead and conversion tracking
· Generate ideas for sales and promotions as needed
· Assist in the creation and editing of written, video, and photo content for social media
· Assist in managing Before & After photos
· Obtain and manage patient reviews through Google, Facebook, Yelp, and or RealSelf
· Assist in helping maintain practice standards to promote a positive patient experience
· Sustain and/or create office collaterals including but not limited to: new patient packets, patient treatment quotes, information packets, monthly specials etc.
· Manage and participate in various marketing and community relations efforts for the practice
· Other duties as assigned
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
