Under the general supervision of the Campus Dean, Dental Hygiene and direct supervision of the Clinic Administrator, the Clinic Patient Coordinator is responsible for the day-to-day Dental Hygiene clinic operations for West Coast University. Handles patient phone calls; schedules patient appointments; tracks how patients hear about the clinic and monitors patient records for accuracy. Communicates patient records with community clinics, dental schools, and private dental offices; assists students, faculty, and patients as needed in the clinic; handles patient-student or patient-faculty issues; and performs a wide variety highly responsible, complex, and confidential support services for personnel, student, and patient matters, and clerical and administrative tasks as assigned. Participates in university activities such as student functions, open houses, student orientations, continuing education courses, and graduation exercises.
Essential Functions and Responsibilities
- Collaborates with the Clinic Administrator and others as designated by the Campus Dean, Dental Hygiene with all clinic related assignments and tasks.
- Coordinates patients who enter and exit the Dental Hygiene Clinic.
- Deals discreetly with large volumes of sensitive, confidential information concerning patient, student, staff, faculty, and university affairs, information contained in minutes, letters and other documents.
- Composes well written internal and external correspondence and reports for the Dental Hygiene Clinic and program.
- Answers clinic telephone calls in a professional and business-like manner.
- Distributes incoming clinic faxes such as medical consultations to appropriate student or faculty.
- Establishes and maintains clinic record keeping and filing systems. Classifies, and files correspondence, records and other regulatory documents.
- Assures care and maintenance of clinic front office equipment and supplies. Maintains inventory levels for office supplies and program materials and literature.
- Provides input into clinic marketing plans and literature.
- Prepares and/or updates clinic related marketing and/or other types of materials; assembles Dental Hygiene Clinic print communication folders/packets in preparation for meetings with internal and external stakeholders.
- Maintains the displays within the clinic and for keeping them up to date with current information and/or items of special interest to patients and students.
- Projects a positive image of all aspects of West Coast University Dental Hygiene in the community and within the Clinic.
- Responsible for responding to routine and non-routine clinic inquiries.
- Maintains inventory of clinic related materials and distributes clinic information and supplies as requested and needed for internal and external events.
- Assists students, faculty, and staff in patient related issues with the accompanying accurate and detailed documentation of the issues.
Preferred Education, Certifications and Licensures
- Associate degree in dental assisting, marketing, or related field preferred.
- Current Certified Dental Assistant (CDA) or California Registered Dental Assistant (RDA) license preferred.
Preferred Experience and Skills
- The ability to demonstrate bilingual skills is preferred.
Required Education, Certifications, and Licensures
- High school graduate or equivalent required.
- Must have documented continuing education dated within the previous two years to include a minimum of two (2) hours of Infection Control and two (2) hours of the Dental Practice Act.
- Current certification in basic life support procedures including healthcare provider CPR with an Automated External Defibrillator.
- Health certifications for an OSHA Category I classified position (potential for exposure to infectious diseases at work). As an essential component of the West Coast University infection-control program immunizations and tuberculosis clearance documentation is required in accordance with current CDC and OSHA recommendations and guidelines for Health-Care Personnel. Below are health certification details which are subject to change as required by OSHA and CDC.
- Immunizations - based on the CDC Recommended Immunizations for Health-Care Personnel (HCP), all HCPs must submit documentation of immunization to Hepatitis B (series of three doses with anti-HBs serologic testing 1-2 months after dose #3), proof of immunity to Hepatitis B, or a signed declination; Measles, Mumps, Rubella (MMR); Varicella (chickenpox); and Tetanus, diphtheria, pertussis (booster every 10 years). Highly recommended immunizations for the HCP include Influenza (yearly), Hepatitis A, and Pneumonia. For some individuals, a titer test will be indicated vs. vaccinations. Titer tests showing immunity to listed pathogens are acceptable. Titer tests showing a negative response require appropriate immunizations and follow-up titers must be completed and submitted. If one or more of the listed immunizations are contraindicated, documentation must be submitted clearly identifying the reason(s). Clinical laboratory reports with facility stamp and medical doctor's signature are required.
- Tuberculosis Clearance - the CDC Guidelines for Preventing the Transmission of Mycobacterium tuberculosis in Health-Care Settings are intended to protect the HCP and patients. The TB screening program consists of two major components: (1) baseline single test for M. tuberculosis infection and (2) serial testing/screening for M. tuberculosis infection. The HCP must have a baseline single test followed by serial skin testing every 6 months. If the HCP has a baseline positive result or has previously had a positive result, a chest radiograph must be completed to exclude a diagnosis of TB disease. Thereafter, every 6 months the HCP must receive a symptom screen. Documentation of positive skin test and negative chest x-ray must be submitted.
Required Experience and Skills
- Two years of dental office experience performing direct and indirect patient-related duties.
- Excellent reception and telephone communication skills and techniques.
- Excellent written, verbal and interpersonal communication skills. Must interact and communicate effectively with physicians and dentists, administrators, program peers, community officials, sales representatives, media and the public.
- Proficient command of grammar, punctuation, spelling, and correct usage of the English language.
- Must be able to effectively use clinic and office equipment, computers and scanner and other resources for completion of projects.
- Comprehensive knowledge and skill in dental office systems such as Dentrix, Dexis, Guru, Lexi-Comp Online, and PreViser; comprehensive knowledge and skill in dental technology such as intra-oral camera use, caries detection devices, and oral pathology assessment tools to assist students as needed during clinic sessions.
- Proficient skills and experience in Microsoft Office computer software systems, including word processing, spreadsheets, and presentation software.
- Proficient skills in classifying, indexing, processing, retrieving, and controlling a large volume of records.
- Thorough knowledge of patient electronic record keeping, maintenance, and adherence to the Quality Assurance Plan.
- Skills: Ability to initiate creative and innovative clinic and patient-related ideas.
- Ability to interpret and apply administrative, clinic, and program rules, policies, and procedures.
- Ability to compose correspondence independently.
- Ability to compile and maintain complex and extensive records and files for a program with a focus/emphasis on clinic patient files.
- Ability to represent the program using good judgment, poise, tact, and diplomacy.
- Ability to multi-task and prioritize; demonstrate excellent organizational skills; follow through and attention to detail.
- Ability to work independently with light supervision. Must be self-directed and reliable in planning and implementing marketing and public relations tasks.
- Ability to exercise good patient skills.
- Ability to work effectively in a highly ethnic and culturally diverse student, patient, and associate community.
- Ability to demonstrate strong professional written and verbal communication and interpersonal skills.
- Ability to self-direct, self-pace, multi-task and function well under pressure of deadlines and conflicting priorities.
- Ability to maintain confidentiality of all associate, student and administrative information.
- Ability to establish and maintain professional effective working relationships with diverse groups and individuals.
- Willingness to work a flexible schedule and to work as the clinic sterilization coordinator or clinic supply manager when needed.
