Job Title: Dental Office Front Desk Coordinator

Location: West County Family Dental- Dr. Michael Weber DMD

Job Summary: Our family-owned private dental practice is seeking a professional, friendly, and organized Front Desk Coordinator to join our team at West County Family Dental. At our office, we offer high-quality, personalized, conservative dental care in a warm and friendly environment. Most of our team has been working together for quite a long time with 4 hygienists for over 10 years. We see quality people and we recognize and keep them!

Dr. Michael Weber DMD grew up in Saint Louis, so he knows the city and its people well. He loves taking care of the community he grew up in and his staff is no exception.

The ideal candidate will serve as the first point of contact for patients, providing exceptional customer service while managing administrative duties in a fast-paced dental office. The role requires excellent communication skills, attention to detail, and the ability to multitask effectively.

Key Responsibilities:

  • Patient Interaction: Greet and check-in patients as they arrive, creating a welcoming and positive experience.
  • Appointment Scheduling: Manage patient scheduling for routine checkups, procedures, and follow-ups. Confirm appointments and send reminders.
  • Phone & Email Management: Answer inbound calls, respond to inquiries, and address patient concerns. Handle appointment rescheduling and cancellations as needed.
  • Patient Records: Collect patient information, including personal details and insurance information. Maintain accurate and up-to-date patient records.
  • Insurance Verification: Verify insurance coverage and eligibility, and help patients understand their benefits.
  • Billing & Payment Processing: Collect payments for services rendered, handle co-pays, process insurance claims, and generate billing statements.
  • Administrative Support: Manage office paperwork, filing, and documentation. Assist with maintaining the overall cleanliness and organization of the front desk and patient areas.
  • Coordination with Dental Team: Communicate effectively with the dental staff regarding patient needs, scheduling changes, and special requests.

Confidentiality: Adhere to HIPAA and other confidentiality guidelines to ensure patient privacy is maintained at all times.

Qualifications:

  • High school diploma or equivalent; additional education or certification in office administration or healthcare is a bonus.
  • Previous experience in a dental or medical office setting is highly preferred.
  • Proficient in Microsoft Office and dental office software- proficiency in Dentrix is preferred
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Ability to work well under pressure and handle stressful situations in a calm and professional manner.
  • Friendly, approachable, and professional demeanor.
  • Basic knowledge of dental terminology and insurance procedures is a plus.

Work Environment: This position will primarily involve sitting at a desk and engaging with patients over the phone, via email, and in person. Must be able to work effectively in a team-oriented environment.

Schedule: Full time

Monday: 7:15am-4:30pm

Tuesday: 7:15am-4pm

Wednesday: 7:15am-5pm

Thursday: 7:15-4pm

No Fridays or weekends!

Compensation: Competitive salary based on experience. Benefits include health insurance, paid time off, and other perks.
