    Job Description
    Position Title: Administrative Assistant
    Location: Leidal Education Center (District Office)
    Department: Special Education
    Reports To: Director of Special Education
    Term: Year-round position
    Schedule: Mon-Fri 8:00-4:30pm
    Salary: Position follows the 2024-2025 Classified Salary Schedule at B214. Starting salary begins at $19.00-$20.80/hour, based on experience.

    SUMMARY: The Administrative Assistant for the Special Education Leadership Team provides essential administrative support to ensure the efficient operation of the district's Special Education programs. This role involves a variety of tasks including managing communications, coordinating meetings, maintaining records, and assisting with the implementation of Special Education initiatives. A key outcome of this role is to provide professional and courteous service at all times while performing related work as assigned

    ESSENTIAL DUTIES AND RESPONSIBILITIES: (Other duties may be assigned)
    Collaboration:
    • Partners with department personnel to complete state reporting requirements.
    • Assists Director, Assistant Director, and Coordinators in the Special Education department with document creation, copying, scheduling, and general office duties.
    • Develops positive, effective working relationships with contracted staff and the public.
    • Develops positive, effective working relationships with learners and staff.
    Communication:
    • Provides information to learners, district staff, and the public by responding to questions and requests.
    • Handles telephone calls in a timely and efficient manner and delivers messages and/or directs calls to appropriate point of contacts as needed.
    • Connects and shares ideas through appropriate/applicable formats to express thoughts and ideas with integrity.

    Responsibility:
    • Supports and maintains continuous improvement of Special Education program operations.
    • Monitors compliance and learner management system programs (TIEnet and Stars programs).
    • Manages subscriptions for learner and educator online accounts.
    • Maintains absence, professional learning, and hiring procedures and platform.
    • Maintains taxi service for select learners with special needs.
    • Creates, monitors, and submits learner contracts.
    • Processes orders for the district’s Special Education programs and trainings.

    • While performing the essential duties and responsibilities of this role, the employee is regularly required to reach with hands and arms.

    • The specific vision abilities required for this role include close and peripheral vision.
    • The employee may be required to lift up to ~30 pounds.
    • The employee must work with the public and various WFPS staff while simultaneously managing several competing demands.
    • The employee will work in an environment that has a quiet to loud noise level.
    Education and/or Experience:
    • High School Diploma or General Education Degree (GED).
    • Associate’s degree or related education in office administration is preferred.
    • Previous office management experience is preferred.
    • Understanding of employment personnel tools (Frontline, Applitrack, and ERP-Pro) is preferred.
    • Demonstrated, effective technology skills – MS Office, Outlook, Excel/Spreadsheets for budgeting, Microsoft Teams, and willingness to learn new accounting and technology systems.
    Language Skills:
    • Ability to read, write, and comprehend simple instructions and short correspondences in the English language.
    • Ability to communicate effectively verbally, expressively, and reactively.

    Other Skills and Abilities:
    • Exercise confidentiality, discretion, and good judgement.
    • Adhere to the assigned work schedule by maintaining regular and punctual attendance.
