What are the responsibilities and job description for the Office Administrator position at West Fraser?

What you will do:

  • Responsible for answering phones, direct calls, take & deliver messages as needed; prepare outgoing mail; pick up, and sort incoming mail; greeting walk-in guests and assisting employees as needed.
  • Directs walk-ins on how to apply for openings and answer questions concerning work hours & pay.
  • Responsible for daily production reports, input daily/monthly inventory and releasing BOLS, maintain supply inventory, managing filing system, scanning, and retaining digital documentation.
  • Assist our AP/Payroll Clerk with coding No PO invoices, scanning invoices, entering invoices when clerk is out of office, etc.
  • Assist HR with setting up interviews, sending out communication emails/testing links, pre-employment paperwork, filing, putting together new hire packets and folders, employee appreciation events, company picnics/parties, community service projects.
  • Responsible for posting HR memos, employee birthdays/anniversaries on communication boards and Squeaks.
  • Managing attendance occurrence reports and entering them into Access Database.
  • Maintain mailroom and office supplies. Order and re-stock as needed. To include kitchen supplies and other items as approved.
  • Maintaining office equipment and reporting malfunctioning equipment.
  • Run errands as needed to pick up new hire/visitor lunches, supply runs for office, kitchen & scale house supplies.
  • Supporting our culture of safety by adhering to mill safety policies & procedures.
  • Be organized, detail oriented.
  • System proficiency: UKG-UltiPro, Oracle, Access Database.

Scale House Relief: Training will be done onsite:

  • Responsibilities include but not limited to:
  • Efficiently process log and residual trucks thru scales and ticketing system
  • Perform basic computer functions, i.e. email, Word, Excel and enter data into database
  • Basic mathematical skills, to include basic arithmetic functions and common units of measurements
  • Ability to work in hot, cold, dusty and noisy industrial environment
  • Ability to bend, twist, lift, climb, stand throughout the duration of the shift
  • Ability to perform all tasks in accordance with West Fraser safety policies and procedures
  • Recognize and support our team culture, communicating effectively with all team members
  • Be willing to work M-F 4:30am-8pm as needed to cover for vacations as well as some Sat 6am-2pm
  • Must be willing to perform all job assignments in an effective and timely manner with minimal supervision.
  • Performs all other duties as assigned by the supervisor.

What you need to be successful:

  • High School Diploma or GED
  • Minimum age of 18 years
  • Valid Driver’s license & reliable transportation
  • Highly proficient with MS Excel, Word, Outlook and Power Point
  • Possess a familiarity with office equipment, including computers, copy and fax machines, scanner, phone systems.
  • Required to have cell phone in case normal lines of communication are down.
  • Ability to perform the essential functions of the position which includes walking, standing, sitting, climbing stairs, bending and lifting-up to 50 pounds, climbing ladders, work in elevated work areas and tight close spaces.
  • Offers of employment are contingent upon successful completion of a pre-employment background check, drug screen test and physical.
