REPORTS TO: Principal
SCOPE OF RESPONBIBILITIES:
To assist the principal and assistant principal of the school by performing secretarial, clerical, and general office duties in an efficient manner to maintain an orderly operation of the school.
PERFORMANCE RESPONSIBILITIES ESSENTIAL FUNCTIONS:
- Acts as school receptionist.
- Types and processes correspondence, forms, reports as necessary.
- Assists with identification pictures including, but not limited to, operating equipment.
- Assists with obtaining tranportation for field trips as applicable.
- Maintains records, files, keys, and other items as needed.
- Operates office machines (copying, fax machine etc.)
- Assists in compiling and completing book orders.
- Collects monies for lost or damaged books. Keeps record of lost books. Stamps cards and renews all new books.
- Distribute textbooks as applicable.
- Assists with fire drills and emergency practice sessions.
- Assists in correcting and typing school handbook, process to printer, maintain list of students receiving handbook.
- Prepares requisitions for supplies for office if applicable.
- Verifies semester grades and current grades for all athletes; types eligibility lists.
- Types and processes contracts for football and other sports as applicable.
- Assists with athletic responsibilities.
- Tyes, prints, and distributes programs.
- Performs all other duties as assigned by the Principal or Designee.
WORK ENVIRONMENT/WORK HOURS:
A clerical employee is required to work in an office type setting, climate controlled environment adhering to School Board energy policy. Workday consist of 7 1/2 hours per day, including one-half hour lunch period and two fifteen minute breaks as approved by the supervisor. Wordays may be adjusted for Broard approved summer schedule/emergencies.
COMMUNICATION SKILLS:
A cleerical employee must be able to communicate in standard English both orally and in writing. Must have ability to accurately give and receive information via tele-communication systems. Must be able to communicate successfully and pleasantly with the public.
HUMAN RELATIONS INVOLVEMENT:
Telephone, typewriter, computer, facsimile machine, calculator, copy machine, printers, folding machines, intercoms, and P.A. systemand other appropriate office machines.
PHYSICAL INVOLVEMENT:
Sitting is required most of each work day. Must be able to operate office equipment. Standing, Walking, reaching, bending, lifting up to 10 pounds is sometimes required.
MENTAL INVOLVEMENT:
Clerical employee must understand and interpret written and verbal instructions from supervisor. Must be able to work independently with minimal supervision. Must have ability to learn and use various computer software programs.
- Must be able to work compatibly in group settings.
- Must be able to respond postively to supervision and accept suggestions for improvement.
MININUM QUALIFICATIONS:
- High School diploma or equivalency
- Passing score typing test of at least fifty (50) wpm with no more than three (3) errors.
- Excellent verbal and communication skills
- Establish and maintain accurate files
- Operates office machines efficiently
- Perform Office duties efficiently and professionally
- Two (2) years experience in general office work
- Passing of shorthand requirements and/or computer test
DESIRABLE QUALIFICATIONS:
Experience in gneral office work or public relations work, good verbal and written commmuincation skills, and two (2) years college credit in general business of business school certificate.
