What are the responsibilities and job description for the Billing Administrator position at West Michigan Psychological Services?
West Michigan Psychological Services is growing, and we are looking for a second billing specialist. The ideal candidate will gather and apply information needed to process insurance claims, apply payment to patient accounts and resolve billing issues. In addition to reviewing documents for both accuracy and completeness to ensure that all claims are billed and posted accurately.
This is a full-time position located at our Holland - North Location (400 136th Ave. Suite 416 Holland, MI 49424). The schedule is Monday - Friday from 8:00 a.m. - 5:00 p.m.
The essential functions of this position include, but are not limited to, any and/or all of the following:
- Verifies patient insurance eligibility.
- Prepares, reviews, and transmits claims using billing software, including electronic and paper claim processing.
- Processes insurance claims with efficiency and accuracy according to approved rates.
- Reviews insurance aging as assigned, including claims follow-up and re-submission.
- Receives and credits payments to proper patient accounts.
- Prepares and transmits a variety of bills and invoices for services provided.
- Prepares and reconciles daily deposit of payments received by mail, in person, and/or electronically.
- Prepares deposits as necessary.
- Responds to questions from patients about billed services.
- Performs other functions as assigned.
Required Education, Training and Experience
Minimum of a High school diploma and 2-year college degree with at least 2 years' experience in medical billing and/or coding. Knowledge of accounting policies and procedures including the areas of bookkeeping, general office functions, and insurance billing. This position requires a strong knowledge of billing compliance and an acute attention to detail.
Additional Requirements
- Good working knowledge of standard billing principles and practices.
- Proficient working knowledge of Medicaid, Medicare, health insurance regulations, commercial/private insurance billing, primary payor rules, and general ledger processes/ practices.
- Computer literacy, including thorough working knowledge of Microsoft office software, spreadsheets, and electronic health record software.
- Profound organizational skills and ability to prioritize the workload.
- Outstanding customer service skills.
- Exemplary verbal and written communications skills.
- Ability to relate to individuals of diverse culture backgrounds and promote a culturally sensitive environment within the workplace.
- Knowledge of all federal, state, and local laws and regulations specifically on assigned billing and other assigned administrative duties.
- Ability to interact positively and objectively with managers, supervisors, employees, vendors, contractors, consultants, and members of the public from a wide range of cultural and socio-economic backgrounds and with varying levels of communications skills.
Other duties include:
- Handle tracking and submission of insurance claims both electronically and manually.
- Process insurance denials and work with insurance companies for claim payment
- Monitors clinical billing backlogs and informs management as necessary.
- Timely posting of all insurance payments
- Managing insurance aging reports and claims cleanup.
- Updates insurance demographics as needed.
- Process and manage insurance appeals.
- Creates statements as needed.
- Ensure clinicians are coding properly (coaching as necessary)
- Maintains records of accounts sent to collections.
- Responds to phone calls about billing/claim matters and resolve as necessary.
- Tracking reimbursement rates and ensuring they are congruent with rate negotiations.
- Registration and EFT management for insurance companies
- Handles mail as pertaining to billing.
- Aids with third party audits as necessary.
- Run weekly reports for processing and billing insurance.
- Acts as a liaison with insurance companies in addition to being a source of information for coworkers.
- Other duties as assigned, and billing related.
