Position Summary:
The Safety Compliance Coordinator will play a critical role in supporting West Penn Energy Services LLC and affiliated companies in maintaining safety standards and ensuring regulatory compliance. Based at the corporate location in Shelocta, PA, this position provides a wide range of administrative and operational support to the safety department and district offices. The ideal candidate will have a thorough understanding of company safety procedures and be able to support field operations with appropriate documentation, while ensuring compliance with all regulatory and company requirements.
Key Responsibilities:
- New Hire Orientation:
- Conduct safety orientation sessions for new hires, ensuring understanding of company policies, procedures, and safety expectations.
- Ensure compliance with client company site-specific training requirements, recording completion of all necessary training prior to the new hire's start date.
- Safety Support:
- Provide administrative assistance during safety stand-downs and other company-wide safety initiatives.
- Coordinate the implementation of safety programs and initiatives as directed by the safety department.
- Act as a liaison between the corporate office and district locations to address safety-related concerns and provide support.
- Ensure field supervisors have the appropriate paperwork, such as Job Safety Analyses (JSAs), incident forms, and other required safety documentation.
- Field Safety Oversight:
- Collect, track, and audit daily forms and field safety initiatives to ensure consistency and compliance with company policies.
- Monitor and report on safety-related activities in the field, addressing any gaps or inconsistencies in safety practices.
- Compliance Management:
- Maintain and ensure compliance of driver qualification files in accordance with DOT requirements.
- Coordinate quarterly random drug testing, ensuring timely communication with employees and accurate record-keeping.
- Keep all compliance and Third-Party Administrator (TPA) sites updated by entering quarterly statistics.
- Monitor compliance-related metrics and report any red flags or issues to the immediate supervisor promptly.
- Incident and Claims Management:
- File and maintain records of incident reports, insurance claims, and workers' compensation claims.
- Monitor claim status and ensure timely communication with relevant stakeholders.
PPE Management:
- Manage the procurement and distribution of Personal Protective Equipment (PPE) for district offices.
- Ensure that district offices are adequately stocked with PPE and that all equipment meets company and safety standards.
- Conduct regular audits of PPE inventory and coordinate with vendors for timely replenishment.
- Data Management and Reporting:
- Maintain accurate and organized safety records and documentation.
- Generate and submit regular reports on safety performance, compliance status, and incident trends.
Qualifications:
- Education and Experience:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Safety, Environmental Science, or a related field preferred.
- Minimum of 2 years of experience in a safety or compliance-related role, preferably within the oil and gas or transportation industry.
- Skills and Knowledge:
- Comprehensive knowledge of company safety procedures and protocols.
- Familiarity with oil and gas safety standards, DOT requirements, and driver qualification file management.
- Proficiency in coordinating random drug testing and ensuring compliance with TPA requirements.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to work collaboratively across teams and maintain professional relationships.
- Technical Proficiency:
- Comfortable with compliance tracking systems, TPA platforms, and Microsoft Office Suite (Word, Excel, PowerPoint).
Work Environment:
This position is based in a corporate office setting but may require occasional travel to district locations. The role demands the ability to work under deadlines, manage multiple tasks, and address safety concerns proactively.
