THE DIRECTOR OF FINANCE OPPORTUNITY
West Shore Country Club seeks a Director of Finance (DOF”) to lead the Club's finance, accounting, and IT functions. The DOF at West Shore Country Club provides leadership, management, and the guidance necessary to ensure the Club’s long-term financial health and growth. The DOF establishes strategies, policies and procedures that will ensure the achievement of the Club’s financial goals. The DOF brings a level of professionalism, business acumen and strategic partnership to a well-respected General Manager and Board of Governors. The DOF is responsible for managing budgets across multiple departments and forecasting future needs using a long-term planning process to make informed decisions that improve Club performance.
WEST SHORE COUNTRY CLUB
Established in 1928, the West Shore Country Club was envisioned as a place where friends could gather for social and recreational activities. Over the years, as membership grew, our original vision has remained true. Located on 164 acres in the heart of South-Central Pennsylvania, our club offers the finest in golf, racquet sports, swimming, dining, and social activities. Our variety of banquet settings can accommodate parties from a small business meeting to a grand wedding celebration. Our beautiful clubhouse and impeccably groomed grounds add to the aura of quiet sophistication that is the West Shore Country Club.
Our clubhouse offers members several dining options from casual bar top dining in the Tavern to a more traditional club dining experience in either the Shore Room or the Grandview Room. In addition to the dining facilities, our clubhouse features a semi-circular ballroom that is beautifully and traditionally decorated with the ability to accommodate upwards of 300 guests and a variety of events from weddings, private parties, business meetings, etc. Newly built in 2019, our pool complex includes a half-Olympic size pool and a splash pool. Pool activities and programs include learn-to-swim program, swim team, dining services on the pool deck and special events. Our racquet sports department offers four pickleball courts and three Har Tru tennis courts used for individual, league, and tournament play.

SELECT KEY RESPONSIBILITIES
STRATEGIC GUIDANCE
• Directs financial operations with the COO/GM of the Club. Formulates, receives, and recommends policies for approval relating to accounting and auditing, the budget, revenue, and cost control procedures.
• Proactive nature in data-driven analysis to assist COO/GM and Department Heads.
• Works with leadership to create long-term and short-term operating plans; establishes associated operating and capital budgets.
• Analyzes financial information, monitors budgeted versus actual expenditures and advises management about variances and causes.
• Anticipates unfavorable financial results or variances; conducts research and is prepared to offer preliminary explanations and appropriate counter measures.
• Works closely with COO/GM to anticipate issues. Communicate regularly with the Treasurer/Finance Committee.
• Staff Liaison to the Finance Committee and Oversees investment decisions for Club’s working capital account.
• Identifies and evaluates risk and mitigation plans; maintains insurance records; ensures appropriate coverage levels are maintained
• Collaborates with audits and tax reporting firm for compliance per accounting standards, fixed asset recording and balance sheet/ operating statements.
• Follow GAAP and simultaneously help Management to succeed operationally through planning, analyzing, and implementation of sound business practices.
• Complete and Provide Capital reports to the Executive Committee, Board of Governors, and Finance Committee. Establish and maintain a detailed schedule on capital projects, amounts paid and replacement reserve study.
• Attends Executive Committee, Board of Governors, Finance Committee, and other meetings as required.
• Leads Capital Planning Committee, keeping regular records of project status and committee decisions to ensure projects progress in accordance with Club standards
TAX, BENEFITS, BUDGETS, REPORTING
• Collaborates with HR Director in overseeing employer 401K plan.
• Oversees the reconciliation of bank accounts and approves transfers as needed throughout the year.
• Reviews W-2s for end of year in addition to other year end reports. Submits all reports to the government for end of year.
• Makes sure that all federal, state, and payroll taxes are paid in a timely manner. Pays sales taxes and occupancy taxes; Prepares journal entries for the month.
• Maintains awareness and knowledge of current tax law changes or tax-related legislation that directly impacts the Club and uses that knowledge to leverage the Club’s financial reporting to incorporate such any tax/reporting advantages.
• Reconciles general ledger, accounts payable, accounts receivable, and fixed assets.
• Works collaboratively with HR Director on payroll and benefits compliance and processing.
• Leads the budget process by establishing policies, procedures and expectations for budget preparation, approval, execution, and monitoring; collaborates with GM and department heads to ensure understanding, ownership, and buy-in; ensures the budget is realistic, in alignment with the Club’s mission, and accurately reflects the current operating environment; educates department heads on the budget process; and providing real time or timely reports on financial issues impacting department budgets.
• Compares relevant data, such as YTD results versus budget or current year versus previous year, to identify issues or trends as soon as possible
• Reviews and approves all invoices of the Club, both for accurate reporting and for business purpose and need. Acts as Administrator for Club’s digital invoice approval process.
STAFF DEVELOPMENT
• Mentors, trains, and conducts annual performance reviews of direct reports with developmental plans.
• Direct Supervisor for the AR/AP Position, and the Front Desk Receptionist. Focuses on success and holds direct reports accountable for high level of performance.
TECHNOLOGY
• Maintains full oversight of Information Technology related activity, with support from current and long-standing third-party vendors.
• Ensures equipment is maintained, forecasts replacements and replacement costs.
• Takes lead on service disruption mitigation through communication with vendors.
• Stays up to date on newest technology and makes recommendations for implementation.
LEGAL AFFAIRS AND CONTRACT MANAGEMENT
• Create and sustain productive banking, insurance, and contractual relationships and serve as primary liaison with related third parties.
• Evaluate and oversee risk management and insurance issues.
• Lead and manage technology investments, policies, and contract vendors.
• Assess, create, and implement streamlined solutions to support operational effectiveness and provide timely and accurate reporting, reimbursements, etc.
Requirements
CANDIDATE SPECIFICATIONS
- 7 – 10 years of progressive key financial leadership for an organization, preferably one in a service or hospitality industry, or possessive of a fundamental understanding of tax-exempt organizations as well as the club industry.
- Proficiency in information technology for finance and accounting in the hospitality industry
- Experience with capital, construction, and renovation projects
- Experience with administration of 401k and defined contribution retirement plans
- Demonstrated strong oral, written, and interpersonal communication skills
- Team-oriented and able to meet deadlines
- Charismatic, influential leadership with the ability to mentor and lead others
EDUCATIONAL AND CERTIFICATION QUALIFICATIONS
- Bachelor's Degree with a concentration in Finance, Accounting, or Business; CHAE or CPA preferred
- 7-10 years of professional finance/accounting experience with 3 years at a Controller or higher level
