Job Description Summary:
This person, chief of staff, will work closely with our executive team. This position will be directly responsible for streamlining strategic initiatives, overseeing program management, and communicating objectives to departments. This position will oversee strategic business initiatives, from development through successful execution, under the guidance of senior leadership and department heads. Assisting and communicating with executives in decision-making, program management, and initiative implementation, will be a vital part of this role. This position will improve current processes and optimize organizational procedures for efficiency and productivity.
ESSENTIAL JOB FUNCTIONS:
- Serve as liaison with staff, executives, senior leaders, and CEO regarding company climate, employee well-being, project updates, proposals, and planning Participates with the CEO/President and senior management team in strategic planning, policy development, and decision-making.
- Represents CEO/President in meetings, by email, and phone calls with internal and external stakeholders.
- Drafts letters, emails, reports, and other correspondence on behalf of the CEO/President.
- Oversee daily operations in collaboration with senior managers and department leaders, and perform administrative tasks such as managing calendars, generating correspondence, maintaining hard copies and electronic files, planning and coordinating annual corporate meetings, and scheduling facilities
- Serves as the primary liaison between the Board of Trustees and organizational staff.
- Coordinates board meetings, prepares agendas, compiles supporting documents, and takes accurate meeting minutes.
- Assists in the creation, review, and distribution of board reports and correspondence.
- Organizes board-related events, such as retreats, training sessions, and appreciation events.
- Handles sensitive information with utmost discretion and maintains a high level of confidentiality.
- Foster positive and productive relationships with board members.
- Develop and build on relationships with all employees for increased efficiency and responsiveness of existing operations, and help define new operational strategies by working with CEO and other executives on special projects
- Serve as a subject-matter expert, handling inquiries, developing action plans, and assisting with preparation and dissemination of communications
- Execute and manage new initiatives or special projects by assessing the risk, cost, and work required along with facilitating and overseeing the project to completion.
- Assists in special projects as assigned by Vice Presidents.
- Performs related responsibilities as required or directed.
JOB SPECIFICATIONS:
EDUCATION:
- Bachelor’s degree (or equivalent experience) in business administration or similar field
LICENSURE, REGISTRATION, CERTIFICATION:
- N/A
EXPERIENCE:
- Seven or more years of experience in a business management or executive role
- Experience in organizing and directing multiple teams and departments
- Experience in planning and leading strategic initiatives
- Excellent written and verbal communication skills
- Versatile abilities and extreme dedication to efficient productivity
KNOWLEDGE, SKILLS AND ABILITIES:
- Experience in data analysis and budget management
- Consulting experience, with a focus on operations management
- Proven success in a project coordination role
- Nimble business mind, focused on developing creative solutions
- Strong project-reporting skills, with focus on interdepartmental communications
- Utilize advanced software tools and systems to manage board documentation and facilitate efficient workflows.
- Provide technical support for virtual or hybrid meetings, including troubleshooting issues.
INTERPERSONAL REQUIREMENTS:
- Strong communication skills to work with Hospital Board Members, City/County Officials, Department Directors, Executive Staff, physicians, sales representatives, the general public and other employees on a constant basis to exchange information, coordinate activities and to provide assistance.
- Contributes to a positive work environment and the overall team effort of the department
