West Virginia University is currently accepting applications for a Remote Payroll Processing Support Specialist.
About the Opportunity
The Payroll Processing Support Specialist will support the Shared Services Workforce Administration team by ensuring all new hires outside of Taleo recruiting complete payroll processing and provides general guidance to the new hire, as needed. The Payroll Processing Support Specialist will be responsible for new hires completing I-9s, direct deposit, and other payroll processing documents in a timely manner and aligned with the new hire’s anticipated start date. Incumbent will provide a high level customer service experience when responding to inquiries from applicants, hiring managers, colleagues, and leadership. This position will work collaboratively with team members to maintain operations and continuously streamline and improve processes and services.
What you'll do:
ONBOARDING AND PAYROLL PROCESSING
- Supports the payroll process for non-Taleo new hires by responding to questions related to completing forms and documents required for onboarding
- Provides instruction to new hires to ensure proper I-9 completion. Assists new hire with completion of I-9 and ensures all required documents have been obtained.
- Obtains all required documents for Direct Deposit enrollment.
- Assists new hire with any basic questions regarding completion of payroll processing forms.
- Scans any paper documents to secure N drive for Employee Data Management (EDM) staff to key
- Opens a case in Salesforce to alert EDM that packet is in N drive and ready for keying
- Uses professional and customer-focused approach to handle customer inquiries.
- Ensures privacy where appropriate, including confidentiality and protection of sensitive reports or information
BACKUP SUPPORT
- Assists with conducting background, employment, and education checks on non-Taleo hires as needed
- Completes I-9 audits and reviews for compliance, as needed
- Backup support for Operations Coordinator in regards to monitoring the temporary employment program and unemployment compensation inquires
OTHER
- Other duties and special projects as assigned.
Education:
Associate degree. An equivalent combination of education and experience may be considered.
Experience:
2 years of experience:
- Prior customer service or human resources office experience
- Prior work experience with onboarding new employees and completing I-9s is preferred
Knowledge, Skills, and Abilities
- Attention to detail and accuracy with keying information
- Ability to research issues and prepare options for resolution
- Ability to learn internal systems such as Salesforce and LawLogix
- Ability to provide clear and concise instructions and one-on-one support to system users
- Ability to manage multiple tasks
- Communicate effectively and professionally, both orally and in writing
- Effective interpersonal skills and demonstrated ability to build and maintain effective work relationships
- High degree of integrity and reliability
- Demonstrated experience in providing an exceptional level of customer services, to all levels of the organization
