What are the responsibilities and job description for the Coordinator of Alumni Records and Events position at West Virginia Wesleyan College?
The Coordinator reports directly to the AVP for Alumni Engagement and Annual Giving and also works closely with other Alumni and Advancement staff. The Coordinator provides support for all alumni programs and projects and is responsible for updating alumni records for increased accuracy. The goal of the Office of Advancement and Alumni Relations is to build and maintain mutually beneficial relationships with Wesleyan alumni.

Specific Job Responsibilities Include The Following
- Assist the Director of Alumni Relations with planning and coordinating alumni and donor events, which includes finding locations for events, preparing and mailing invitations, receiving registrations, preparing name tags and sign-in sheets, and possibly attending events as requested.
- Assist with making reservations, food orders, and other on- and off-campus event logistics
- Assist with Class Reunion and Class Chair programs, which includes communicating with class reunion representatives, preparing mailings, coordinating events, and receiving registrations
- Update alumni records with current information through Raiser’s Edge database system
- Prepare class notes and obituary information for Sundial alumni magazine
- Serve as registration point of contact for Homecoming (flexible hours required)
- Assist with planning and coordinating Commencement events
- Assist with planning and preparing for Alumni Council meetings and other activities
- Assist the Director of Development Operations with building coordinator responsibilities of the Erickson Alumni Center, such as contacting physical plant for work orders
- Assist in the maintenance of financial records for Advancement and Alumni, including processing check requests
- Assist with new creative strategic planning initiatives for alumni programming
- Assist with the creation, development, and execution of mail correspondence including both large and small projects
- Responsible for Erickson Alumni Center guest hospitality, including greeting, directing, and offering assistance to guests and visitors, as well as answering and directing phone calls
- Assist the Director of Stewardship and the Emeritus Club with Emeritus Club correspondence, record keeping, and other duties as assigned
- Serve as the lead on researching obituary records for deceased alumni and donors, and making those changes in the database
- Coordinate WVWC license plate program for constituents
- Maintain a comprehensive working knowledge of the College, including mission, vision, and history
- Other duties as needed and assigned by the Director of Development Operations, Director of Alumni Relations, and/or Vice President for Advancement
