The Administrative Secretary with WV DoHS BFA Division of Early Care and Education performs highly responsible, advanced level administrative support to the Division. Responsibilities include making limited policy interpretations in the absence of management staff, handling and managing incoming and outcoming correspondence, including emails, letters and phone calls including staff, general public, legislators, federal officials and the Governor’s office, maintaining and updating the filing system, ensuring all documents are properly organized and easily accessible, scheduling and coordinating meetings, conference, travel arrangements for the management team, preparing and distributing meeting agendas, minutes and other necessary documents, assisting in the preparation of reports, presentations and other business documents, manage office supplies inventory, ordering new supplies when needed, and ensuring proper maintenance of office equipment, greeting and assisting visitors, directing them to the appropriate person or department, managing and maintaining office calendars, scheduling appointments and reminding managers of upcoming events or deadlines, coordination of internal and external communications, including routing calls, taking messages and responding to inquiries, assisting in the planning and execution of Bureau and Division events and employee engagement, collaboration with other administrative staff to ensure efficient office operations.
