The employee will exercise discretion and independent judgment while providing administrative and clerical support to the section program manager.
Duties Include:
Administrative Support:
- Answer phones and sort incoming mail for distribution in the EE administrative office.
- Properly respond to or redirect inquiries and complaints.
- Work cooperatively and share information with co-workers in formal and informal meetings and communications.
- Assist regional clerical staff with questions and protocol.
Document & Records Management:
- Create, edit, copy, distribute, and file electronic and paper documents, correspondence, spreadsheets, and databases.
- Maintain and organize electronic and paper records for proper filing and easy retrieval.
- Oversee the control and accountability of inspection and enforcement documents referred to the program manager for disposition.
- Maintain confidentiality of personal and enforcement-sensitive information and documents.
Scheduling & Coordination:
- Schedule meetings, appointments, and travel arrangements for the program manager.
- Schedule, coordinate, and assist with planning training events and meetings for staff statewide.
- Coordinate and assist with training registration and arrangements for staff statewide.
- Coordinate and track responses to FOIA requests.
Procurement & Financial Processing:
- Purchase office supplies, services, and equipment in accordance with established policies.
- Process invoices and payments in accordance with established policies.
Notes:
- Regular attendance is an essential part of this position.
