Western Arkansas Planning & Development District (WAPDD) is actively searching for a Workforce Career Advisor Assistant to join our organization.

Founded in 1966, WAPDD provides a variety of resources, services, and information to our region. Serving six counties (Crawford, Franklin, Logan, Polk, Scott, and Sebastian), we assist area leaders and residents in areas such as community, economic, and workforce development as well as transportation planning, 911 services, geographic information systems, floodplain management, and much more.

WAPDD seeks an energetic, community-minded individual to fill the role of Career Advisor Assistant that will play a role in our Workforce Department and Team.

To successfully carry out this mission, workforce system partners and sector industry partners collaborate to utilize job market data to align the services we provide to improve the long-term employability of citizens within the Western Arkansas Workforce Development Area (WAWDA).

POSITION OVERVIEW

The Workforce Career Advisor Assistant supports the WIOA program by assisting with maintaining client relationships and gathering necessary documentation for Career Advisors and the Workforce Program Manager. Key responsibilities include providing general information to applicants, following up with active clients monthly, and preparing and uploading files into SharePoint. The role involves assisting in coordinating with partner agencies to help participants achieve their education and employment goals, promoting WIOA through civic and community events, and ensuring confidentiality and proper use of program funds. Additional duties include maintaining accurate records, submitting required paperwork, and adapting to new procedures as needed.

This position reports to the Workforce Program Manager/Executive Director at WAPDD.

ESSENTIAL FUNCTIONS

· Develop a working knowledge of local, state, and federal policies and procedures related to the WIOA.

· Gather documentation to be presented to Career Advisor/Program Manager for eligibility and determination.

· Develop and maintain ongoing working relationships with clients.

· Assist with gathering information to document participant interactions and activities. Assist with phone calls and give general information to applicants and referrals through emails/texts.

· Follow-up with clients to track outcomes, reinforce advice and assist with needs to get and keep a job.

· Prepare files for Orientation.

· Contact active clients and follow up clients monthly, send updates to Career Advisor and/or Program Manager to be input in AJL.

· Upload files into SharePoint.

· Coordinate with partner agencies to meet participant education and employment goals.

· Participate in civic and community events with Career Advisor or Program Manager to promote WIOA.

· Maintain confidentiality and follow the local personally identifiable information policy.

· Submit all necessary forms, files, invoices, and other paperwork.

· Maintain files and records.

· Ensure appropriate use of WIOA funds.

· Travel and work outside regular work hours, if needed.

· Adapt and collaborate on new processes, procedures, and guidance.

· Workforce Center as scheduled.

· Enter information into SharePoint rosters as needed.

KNOWLEDGE AND SKILLS – Required

· High School Diploma or GED.

· Excellent oral and written communication skills.

· Highly motivated and actively contributes to a collaborative environment that engages and challenges the workforce department.

· Experienced in effectively operating standard office equipment including computer, phone, text, apps, and software such as Microsoft Office. Including but not limited to the creation and editing of word documents, spreadsheets, and presentations.

· Strong interpersonal skills and ability to work collaboratively and positively with colleagues.

· Awareness of vulnerable populations and a demonstrated ability to interact effectively with people from different cultures and experiences.

ADDITIONAL REQUIREMENTS

To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are in addition to the essential functions and required skills:

· Valid Driver’s License.

· Properly licensed and insured automobile, available for use during work hours.

· The employee is required to be present in the workplace on a regular and reliable basis.

· Normal work hours are M-F 8:00 am to 4:30 pm; however, occasional evening and/or weekend assignments may occur.

· Some out of state travel for conferences and meetings may occur.

WORK ENVIRONMENT

Work is performed at the WAPDD office, Fort Smith Workforce Center, and as needed at various sites throughout the six-county area.

This is a non-exempt, salaried position. Salary range is $30,000 to $32,000 with a comprehensive benefits package including paid time off, insurance coverage, retirement benefits and professional development opportunities. Starting salary will be negotiated based on knowledge and experience.
