Job Summary: The Safety Assistant performs administrative tasks and services to support effective and efficient operations of the safety team.
Essential Job Functions:
Answer phones and greet public and coworkers in a professional manner
Handle inquiries from applicants and employees relative to safety, and hiring processes with sensitivity and confidentiality, and refer complex matters to the appropriate staff
Assist with the recruiting and onboarding process
Maintain driver roster and qualifications in accordance with FMCSA regulations
Prepare and process safety expense invoices
Process status changes for new hires and terminations
Process DOT inspection reports
Process all DOT previous employment inquires in accordance with FMCSA regulations
Maintain accurate and compliant records of Drug and Alcohol certifications
Support the development and implementation various safety initiatives
Assist with planning, execution and completion of safety initiatives
Utilize HRIS and TMS to maintain accurate employee records
Employ attention to detail in recording and updating information in relevant systems
Generate reports and analyze safety data as needed
Present a professional image for all employees and responds with courtesy and a sense of urgency to assist employees
Maintain confidentiality of all records, personal employee information, and other sensitive information and adhere to HIPPA laws and FMCSA regulations
Continually learning the latest and best safety practices to improve workplace efficiency
Responsible for the certification of drug and alcohol collection procedures
Other related duties as assigned
Qualifications:Required:
High school diploma or equivalent
Valid Driver’s license in state of residency with acceptable driving record
Must be able to pass a pre-employment drug test and submit to the company random drug and alcohol program
Proficiency in basic computer skills including Microsoft Office applications specifically Excel, Google Workspace, and 10 key
Strong written and verbal communication skills
Exceptional time management skills, ability to meet deadlines and adaptability in a fast-paced environment
Ability to act with integrity, professionalism, and confidentiality
Willingness to work flexible schedule including nights, weekends, and travel as needed
Preferred:
Associate or Bachelor's degree in related field
At least two years related experience
Knowledge of FMCSA regulations

Positions in this classification occasionally bend, stoop, kneel, reach push and pull. Employees must possess the ability to lift, carry, push, and pull materials and objects weighing up to 20 pounds.
Work Environment: The duties of this job are performed in both an office environment, a commercial motor vehicle terminal environment, and outdoors, thereby experiencing some minor to moderate level of noise due to office/CMV equipment. Exposure to various climate conditions, fumes, dust, odors, oil/grease, and gasses.
