The Dispatcher is responsible for effectively and efficiently managing the assignment and follow up of technicians to jobs to maintain the highest levels of customer service while meeting or exceeding company objectives.
Responsibilities
- Understand the skills, strengths, and weaknesses of the field technicians to dispatch field technicians in relation to the job opportunity and ability of the technician.
- Provide all necessary information to field technicians.
- Dispatch only one call at a time
- Debrief each call before dispatching the technician. Update the tally sheet appropriately.
- Create a weekly written report to the Service Manager summarizing interaction with field technicians.
- Provide tally sheet report weekly to the Sales Manager.
- On a weekly basis review technicians’ strength with Management.
- Organize On-Call schedule for technicians.
- Input leads into the computer system and relaying information to system specialist as needed.
- “Time Stamp” field technicians for dispatch, arrival and completed times in the computer system; verity time cards.
- Contact Customer prior to dispatch to ensure their presence and method of payment via phone or e-mail.
- Perform other duties as assigned.
- Schedule - M-F, 7:30 a.m. - 4:30 p.m. Rotating Saturdays
Requirements
- Excellent interpersonal verbal communications skills with internal teams and customers.
- Good computer skills. Knowledge of common office applications such as MS Word, MS Excel. Experience with one or more dispatch systems.
- Demonstrated ability to multi-task in an intense, dynamic environment.
- Good interpersonal skills.
Physical Demands
To adequately perform the duties of this job the employee is regularly and routinely required to sit; stand, walk, stoop, kneel, use hands to finger, handle controls; hear, and talk. This job will require the employee to sit for long periods of time and use a computer keyboard. The employee frequently is required to reach with hands and arms. The employee must regularly lift and/or move up to 25 pounds (review and modify this weight as appropriate). Specific vision abilities required by this job include close vision and the ability to adjust focus.
Work Environment
The work environment is a fast-paced and intense. The noise level is usually moderate but will vary occasionally. The work environment will subject employees to continual interruptions and changing priorities. Effective, consistent, and constant communication with customers, vendors, co-workers, and others is required.
