Patient Care Coordinator
JOB DESCRIPTION
Position Purpose: The Patient Care Coordinator performs a variety of reception, insurance, and data entry duties for patients/parents in an engaging, welcoming, and warm manner. S/he answers telephones, schedules appointments, collects patient finance at time of service, maintains patient records, and coordinates patient flow through office. S/he checks in/out patients and helps to promote a safe, pleasant, and harmonious environment for the team and patients. Travel to all of our locations in Sylvania, OH Oregon, OH and Monroe, MI would be required as needed.
Qualifications:
To perform this job successfully, an individual must be able to satisfactorily perform each essential duty as listed below all while treating patients in a caring and pleasant manner. Excellent communications skills required.
Essential Duties & Responsibilities:
- Open/Close Office – when required
- Open/prepare the waiting room for patients and ensure tidiness throughout the day
- Turn on/off lights and TV
· Arrive promptly, be presentable and ready to start the day
- Greet patients on telephone and in person
- Retrieve messages from voicemail and email in the morning and throughout the day
- Answers telephone, routes calls, provides information, and takes messages in accordance with practice procedures.
- Schedule and confirm patient appointments
- Input patient data and documents into WinOMS
- Manage daily schedule to maximize productivity
- Monitors the schedule regularly, adjusts the schedule as necessary, and reschedules patients as needed.
- Keeps staff and doctor informed of scheduling problems, issues or concerns
- General clerical duties
- Fax, photocopy, and/or scan documents
- Maintain patient areas and workspace
- Financials
- Collect monies due at time of service
- General:
- Perform any reasonable request from Practice Administrator and/or doctors.
- Responsible for complying with OSHA, HIPAA security, and privacy policies at all times
Skills and Qualifications
- Proven receptionist experience
- Excellent written and verbal communication skill
- Ability to multitask and manage time wisely
- Working knowledge of Microsoft Office and dental software a plus
- Ability to maintain composure and professionalism when exposed to stressful situations.
- Maintain confidence with the patient regarding abilities of doctor(s) and staff.
- Ability to work cooperatively with management, staff, and patients.
- Ability to prioritize, organize, and complete tasks in a timely and independent manner.
- Ability to accept constructive criticism.
- Ability to understand and follow written and verbal instructions.
